We are seeking a highly organized and proactive individual to fill the role of Office Admin with Executive Assistant responsibilities at Leverage Companies, a fast-growing real estate private equity start-up. The ideal candidate will excel in multitasking, possess excellent communication skills, and be capable of handling a variety of responsibilities to ensure the smooth functioning of the office environment.
Responsibilities
Office Management:•Oversee day-to-day office operations, ensuring a productive and well-maintained work environment.•Manage office supplies, equipment, and facilities to ensure a seamless workflow.•Implement and improve office policies and procedures for increased efficiency.•Keep stock of office inventory and order replacements when necessary.•Maintain office tidiness, ensuring the office is neat, presentable, and organized at all times.•Assist in preparation for office guest visits and critical executive meetings.
Executive Assistance:•Provide high-level administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.•Screen and prioritize incoming communications, handling or redirecting as appropriate.•Act as a liaison between executives and internal/external stakeholders, demonstrating professionalism and confidentiality.
Administrative Duties:•Prepare and send out ARIP packages.•Create and organize Acquisition Manager folders.•Manage business card orders and ensure timely distribution.•Oversee payments for parking and rent.•Reorder parking passes as needed.•Coordinate and schedule 1:1 meetings.•Maintain and update the inventory list regularly.
Qualifications
•Proven experience as an Office Manager, Executive Assistant, or in another relevant administrative role.•Excellent organizational and multitasking abilities.•Strong written and verbal communication skills.•Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with office management software.•Ability to maintain confidentiality and act with discretion.•Professional demeanor and strong interpersonal skills.
