8+ years direct working experience as an Executive Assistant and possess impeccable organizational skills, in-office experience, and ability to multitask in very fast-paced environment while maintaining professionalism and positivityCCM is an award-winning brand consulting firm specializing in public relations, influencer and experiential marketing with offices in Beverly Hills and New York City. Our multifaceted expertise is focused on the beauty, lifestyle and entertainment sectors with clients including Paul Mitchell, OUAI, Clinique, Live Tinted, BYOMA, Half Magic Beauty, Tan-Luxe, Isle of Paradise, FORVR Mood among others. @chasencreativeResponsibilities:Provide sophisticated calendar management for CEO. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.Manage and prioritize CEOs to-do list, completion of tasks, approvals, deadlinesProvide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff,Maintain comprehensive and accurate recordsCreate detailed agendas, meeting prep, documentsSit in on key client meetings/calls and take detailed and accurate notes for future follow-up/referenceRespond to CEOs emails, calls, and requests in a timely mannerManage monthly expenses and invoice tracking with bookkeeperLiaise with company attorneys, accountant, bookkeeper, consultants, IT, designers etc.Onboard new employees, benefit enrollment, tracking via Gusto, sourcing freelancers when neededOffice operations including maintaining/ordering equipment, supplies, subscriptions etc.Coordinate travel, reservations, itinerariesSpecial projects including company gifting, team events, outings, holidaysLimited personal scheduling, errands and projectsQualifications:Bachelors Degree8+ years of experience as an Executive Assistant; previous experience working for a CEOExperience working in a fast-paced agency environment, multitasking, administrative coordination, and logistics (ideally in applicable field)Excellent written and verbal communication skillsExtremely organized, detail-oriented, and able to self-manage multiple projects at once with seamless executionProficient with Quickbooks, invoicing, expenses, budgetingDemonstrate a high level of customer service and phone etiquetteHandle confidential matters appropriately and with discretionConfident in quick and effective problem-solvingPositive, professional, proactive, diligent and flexiblePolished with an elevated, creative aestheticProficient in Microsoft Office suite, Gusto, Google Drive, Quickbooks, Apple productsHere are just a few reasons why youll love working at Chasen Creative Media:Work with an amazing team and top brands in the industryBeautiful offices for collaboration with colleagues and clients15 PTO days and Paid HolidaysPaid Winter Break between Christmas and New Years Dayin addition to regular Paid-Time-Off (PTO) and paid holidaysPaid medical, dental and vision insurance premium for employees; family coverage availableMonthly Employee Wellness stipendWork-related travel opportunitiesTeam-building events
