Job Description
We are seeking an
Executive Assistant
to support the General Counsel in our
New York, NY
office This position will report directly to the General Counsel and will provide administrative support to the General Counsel, the Chief Compliance Officer and their teams.
Duties and Responsibilities include:Extensive diary/calendar management by planning and scheduling meetings, conferences, teleconferences, and travel arrangementsPlanning and scheduling business dinners and other eventsPreparation of presentations and reports for Executive Council, external seminars, meetings, and board meetings, etc.Organizing and coordinating conference calls/video conferencesCoordinating meetings and booking meeting roomsCoordinating timelines and deadlines for meetingsFollow up on outstanding deadlinesProviding phone coverage; screening telephone calls and taking appropriate action; maintaining and updating contact lists.Arranging travel itineraries including visas and booking of travel and accommodationsProcessing of expensesMaintaining organizational chartsCreating Excel Charts and Spreadsheets and maintaining sameOther duties as required by managementSkills and Qualifications
Minimum of 5 - 7 years of similar experience supporting C-suite and Executive level management in a fast-paced environmentParalegal license optionalDemonstrated ability to establish close working relationships with other departmentsExcellent written and verbal communication skills organizational skills.Strong computer skillsHighly proficient in Microsoft Office Products, including Excel, Word, PowerPoint and VisioHigh degree of discretion and integrity as the role will involve knowledge of and dealing with issues of a sensitive and confidential natureWill need to be confident, articulate, be extremely proactive and able to act on their initiativeNeeds to be able to prioritize demands and have excellent attention to detailStrong organizational skills and be able to effectively multi-task competing prioritiesExperience with Concur, WorkDay and Outlook a plusSalary Range: $60,000- $125,000 -
Actual compensation for this role will depend on several factors including the cost of living associated with your work location, your qualifications, skills, competencies, and relevant experience.
