POSITION SUMMARY

Job Summary:

The Administrative Assistant for Human Resources provides comprehensive administrative support to the HR department, ensuring efficient operation and coordination of HR-related activities, including filing and documentation management

Customer Service:Address employee inquiries and direct HR-related matters to the appropriate personnel.Provide support across all areas of Human Resources as needed.Administrative Support:

Facilitate day-to-day organizational support for HR operations.Perform accurate data entry and maintain HR records in various systems.Coordinate and schedule meetings, interviews, and HR events.Handle, route, and file correspondence, reports, and records, including those of a confidential nature.Prepare and type letters, memorandums, and other documents.Attend assigned meetings and record minutes.Documentation and Compliance:

Prepare, maintain, and update HR documentation to ensure compliance with company policies.Organize and prepare the necessary documentation for audits.Run reports, compile data, and prepare weekly and monthly reports.Maintain an efficient filing system for quick retrieval, accessibility, security, and protection of documents.Office Management:

Monitor and manage office supplies, deliveries, mailing, and non-facilities equipment maintenance.Reception and Event Coordination:

Provide professional reception services, including handling telephone calls and greeting visitors.Assist in planning and coordinating employee-related events, including managing catering needs.Other Duties

Serve as a backup to the Onboarding and Training Coordinator by completing all assigned tasks for new employees, ensuring a seamless onboarding experience.Qualifications

EDUCATION

High school diploma or equivalent required.Two years of administrative assistant experience preferred.EXPERIENCE/ SKILLS

Excellent organizational skills and attention to detail.Excellent written and verbal communication skills.Ability to operate a personal computer, telephone, fax, and copier.Proficiency in various computer applications including word processing (i.e., merge features for labels, letters, name badges, graphic design), Microsoft Word, Excel, Outlook e-mail and calendar; data entry into multiple software programs; ability to perform research on the Internet.Ability to provide exemplary customer service; interface with all levels of staff and outside agencies; work independently; exercise good judgment and problem-solving skills; team player.Ability to maintain confidential information.PHYSICAL REQUIREMENTS

Mainly required to sit, but also stand, walk, use hand-to-finger controls, and occasionally needed to crouch or kneel.Must be able to lift and move up to 15 pounds.May be required to work evenings, early mornings, and weekendsIt may require some driving within San Diego County.
