Job Description Summary:

The George Washington University Elliott School of International Affairs (ESIA) is one of the world’s leading schools of international affairs and one of the largest schools of international affairs in the United States. The Elliott School seeks a dynamic and motivated individual to serve as Program Coordinator for Academic Operations to support faculty hiring, academic scheduling, provide program coordination, and collaborate with the rest of the Academic Programs team and Dean’s Office. The Program Coordinator reports to the Assistant Director, Academic Programs.

The Academic Programs team engages with current and prospective students, builds collegial relationships with internal team members, and works closely with faculty, directors, and staff throughout ESIA and key university offices. The Program Coordinators collaborate, cross-train, and support each other’s programs as needed.

This role will serve as a point of contact for the assigned programs, will answer typical program questions, and will assist the program faculty with a variety of functional and administrative support. Typical duties often are administrative in nature including tasks that are routine, and under the general supervision of more senior personnel within the department, or program.

Specific responsibilities include:

Academic Scheduling and Operations

  • Creates, coordinates, and implements scheduling materials each academic year for all Elliott School programs in accordance with guidelines and deadlines established by the Academic Scheduling Office. 
  • Collaborates with the Academic Scheduling Office to troubleshoot and resolve scheduling and registration issues. 
  • Tracks and analyzes enrollments and waitlists during each registration period to determine enrollment trends and interest levels in courses. 
  • Oversees the syllabi collection and review processes for each academic semester. 
  • Supports the review of course offerings and alignment between programs’ course offerings to ensure optimal content coverage and stewardship of course slots with the Assistant Deans of Undergraduate and Graduate Studies, as well as the Assistant Director of Academic Programs.
  • Serves as point of contact regarding academic matters for external stakeholders at the university, including Office of the Registrar, Faculty & Staff Service Center, Academic Scheduling, Payroll Services, Faculty Personnel, Part-Time Faculty Affairs, and Academic Technologies. 
  • Hires, onboards, and trains Student Workers, Teaching and Research Assistants, in collaboration with the Program Directors and the Office of Student Employment. 

Faculty Affairs

  • Oversees and administers the hiring and onboarding of part-time faculty.
  • Maintains part-time faculty records including salaries, course evaluations, course development contracts, hire documents, and syllabi. 
  • Plans, staffs, and executes bi-annual part-time faculty orientation and provides an overview of academic guidelines and university policies to faculty. 
  • Liaises with the Faculty Personnel Office on office-wide projects involving part-time faculty recruitment and retention, including efforts toward part-time faculty community building. 
  • Provides faculty with instructional and curricular support to achieve pedagogical success.
  • Counsels part-time faculty on University policies, procedures, and regulations, as well as opportunities for professional development. 

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

This is a hybrid position with some days in-person in Washington, DC and some days remote.

Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications:

Preferred Qualifications:

  • 1- 2 years in higher education administration is preferred. Direct experience in academic affairs, a Registrar’s Office, faculty affairs, or student services is also highly preferred.
  • Strong organizational skills and attention to detail. 
  • Flexible, congenial, and efficient. 
  • The ability to take initiative and ownership of their work. 
  • The ability to communicate clearly with multiple stakeholder groups, both orally and in writing.
  • The ability to work as a member of a team and develop a strong working relationship with administrative offices and staff. 
  • Strong interest in and/or skills in event planning. 
  • Proficiency with Microsoft 365 and Google Workspace. 
  • A demonstrated interest in International Affairs preferred.
  • A Bachelor’s degree is highly preferred.

Hiring Range

$21.27 - $27.63
