I. JOB OVERVIEW

Job Description Summary:

The George Washington University (GW) is searching for a Program Associate, Exchange Programs with the ability to work independently and collaboratively in a fast-paced, multicultural, international organization alongside driven colleagues who believe in the power of international education. This position works alongside colleagues in the Office for Study Abroad, the International Services Office, and the Office of International Programs. The purpose of this position is to provide coordination and to support program management for J-1 exchange students visiting the institution. These students typically stay for 1 or 2 semesters. This role will serve as a point of contact for the students, answer program questions from faculty and staff, and provide functional support for the program administration. The ideal candidate will be a detail oriented, open minded, energetic team player who can take direction but move towards independent management of the job once core functions are mastered. Strong communication, interpersonal skills, and emotional intelligence are highly valued; this position will work with students from many countries and should enjoy spending time with international students and colleagues.

Other responsibilities include answering most inquiries, enrollment guidance, some marketing efforts, drafting program materials, participating in programming events, preparing and analyzing reports. This individual will serve as a DSO and ARO to support immigration functions for the exchange students. There is potential to grow into broader F-1 international student advising with this role if there is evidenced skill and interest. This position works within a team of individuals who support newly admitted students to the institution but will specialize in working with J-1 exchange students. Duties often are administrative in nature including tasks that are routine, and under general or limited supervision of more senior personnel within the department.

This position reports to the Manager of International Student and Scholar Advising.

Responsibilities include:

Administrative

  • Communicating and interpreting application policies, requirements, and procedures to partners during each nomination cycle.
  • Managing exchange balances with partner institutions to ensure reciprocity between outbound and inbound students.
  • Reviewing and updating student exchange applications and relevant documents for each semester cycle.
  • Providing academic advising for exchange students visiting GW
  • Providing high-level immigration advising to students and escalate specialized issues to the Manager of International Student and Scholar Advising as necessary.

Admissions/Registration

  • Managing the admission and acceptance process for incoming exchange students (admitting students to university in Banner, acceptance letters, information packets, etc.)
  • Serve as an ARO and DSO
  • Issue immigration documents for newly admitted J-1 exchange students.
  • Issue travel validations on immigration documents.
  • Managing the registration process and monitoring financial/billing records for exchange students throughout the semester to ensure proper administration.
  • Responding to incoming exchange student queries related to housing, registration, health insurance, student accounts, etc.
  • Play a lead role in administering the Exchange email account, routing incoming questions to appropriate staff members as needed.

Programming

  • Participate in and support the orientation program for exchange students inbound to GW throughout the academic year, and participate in and support the development of various activities offered for the academic, personal, and cultural enrichment of incoming exchange students.

Training

  • Providing training and support for advisors within Study Abroad who are responsible for GW outbound exchange students seeking to engage with similar processes at partner institutions.
  • Preparing incoming exchange students for arrival through email communication and webinars.

Marketing

  • Creating, updating, and printing marketing materials.
  • Managing mailings to exchange students and international partner institutions.

The position is based at GW’s Foggy Bottom Campus in The Washington, DC, and may occasionally travel domestically and internationally. The incumbent may perform other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Experience in Higher Education
  • Experience studying, living, and/or working abroad
  • Strong attention to detail
  • Demonstrated ability to work independently and cooperatively in order to respond quickly and positively to shifting demands and opportunities
  • Demonstrated ability to work on several projects with competing deadlines simultaneously with high attention to detail
  • Working knowledge of Banner, Sunapsis, and/or other University electronic systems related to student records
  • Proficiency with MS Office Suite. Competence in creating tables, charts, Google forms, using spreadsheets, presentations, and word processing packages
  • Experience working with diverse groups of students
  • Motivated team player

Hiring Range

$51,455.52 - $70,708.76
