Our client seeking an experienced Executive Assistant to work alongside a team in the founding partners office, providing critical support in managing complex schedules and heavy travel arrangements, including coordination of private jet travel. If you thrive in high-stakes environments and are skilled at anticipating needs, this is an exciting opportunity to contribute to a top-tier firm.Key Responsibilities:Provide high-level administrative support to senior executives, including managing calendars, scheduling meetings, and prioritizing tasks.Make complex travel arrangements, with an emphasis on booking private jet travel, including itinerary management, ground transportation, accommodations, and other logistics.Coordinate and prepare materials for meetings, ensuring executives are well-prepared and all details are in place.Handle confidential information with discretion and professionalism.Act as a gatekeeper, managing incoming calls, emails, and requests to ensure efficient time management for the executives.Liaise with internal and external stakeholders, maintaining a high level of professionalism in all communications.Assist with event planning and execution for company meetings, conferences, and off-site events.Manage and track expenses, prepare expense reports, and ensure timely processing.Support in creating presentations, reports, and other documents as needed.Qualifications:3+ years of experience as an Executive Assistant, preferably in private equity, finance, or a fast-paced professional environment.Bachelors Degree required.Proven experience coordinating complex travel arrangements, specifically with private jets.Exceptional organizational skills with the ability to multi-task and prioritize effectively.Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).Excellent communication skills, both written and verbal.High level of discretion and professionalism in handling sensitive information.Ability to anticipate needs, take initiative, and remain calm under pressure.We will consider for employment, qualified applicants with criminal histories in a manner consistent with the requirements of the State of California Fair Chance Initiative for Hiring.
