SUMMARY

MJ Retirement seeks a versatile Executive Assistant to assist the CEO and COO. The role will focus on supporting sales efforts while maintaining other responsibilities. This role requires an individual capable of maintaining high standards across all business interactions through clear communication and fostering collaboration. We are looking for a proactive individual who can effectively liaise between associates, managers, and executives, supporting the CEO with daily tasks.

ESSENTIAL FUNCTIONS

+ Deliver sales support by building strong client/prospect relationships and providing assistance with a high sense of urgency

+ Coordinate MJR's engagement with other teams at The MJ Companies to support sales opportunities

+ Coordinate communications, including taking calls, responding to email and interfacing with clients on behalf of the Chief Executive Officer, Retirement.

+ Organize events such as Client Advisory Board, Client Innovation Forum, Advisor Innovation Forums, Focus Group/Round Tables, and other team/client/prospect/networking events

+ Schedule meetings and appointments; manage complex calendar in Microsoft Outlook on behalf of the MJR CEO & COO.

+ Maintain the Agenda for monthly Team & Advisor meetings in support of MJR CEO & COO

+ Establish and sustain a high level of professionalism among staff, clientele, prospects, and business partners

+ Collaborate with COO & MJC Accounting on MJR required activities such as billing, accounts receivable, Sales Incentives, Team Incentive, managing travel itineraries, and processing expense reports for MJR CEO & COO

+ Uphold a strict level of confidentiality

+ Various other duties assigned

TECHNICAL FUNCTIONS

+ Proficiency in MS Office products (Excel, Word, Outlook, PowerPoint)

+ Requires the ability to gain cooperation, persuade and influence other people

+ Resourceful, proactive self-starter with the ability to think ahead

+ Must be able to work independently

+ Aptitude to meet deadlines in a fast-paced, quickly changing environment

+ Excellent written and verbal communication skills; professional presentation

+ Ability to organize a daily workload by priorities

+ Excellent customer service skills
