Role Overview:

PIC - Philippines, a Genus company, has an exciting opportunity. We are looking for an Executive Assistant who will provide secretarial/administrative support directly to managers. This role receives, screens and directs incoming calls, visitors, mail and email, maintains files, records, calendars and diaries, arranges business travel, coordinates meeting arrangements, tracks expenses, and participates in the development and implementation of secretarial standards, policies and practices for the organization. This requires exercising confidentiality, tact and diplomacy in maintaining open lines of communication among management and staff.Essential Duties and Responsibilities:Performs a wide variety of executive secretarial and administrative duties as required by daily operations in the Asia Regional Director and PIC Philippines General Managers office such as:

Managing and organizing internal and external appointments/meetingsMaintaining critical/confidential documents including electronic filesPreparing of Expense ReportsScreening incoming calls and visitorsTaking minutes of meeting and actively coordinating status of agreed action items for reporting purposesPreparing business correspondencesArranging errands such as: Utility Bills payment, Foreign and domestic travel requirements (including visa, passport renewals and hotel accommodation)Photocopying, scanning, faxing, filing and mailing documents

Collates and prepares various reports such as:

Meeting Minutes/Actions Items monthlyGift and Facilitation Log monthlyThailand Live Pig Prices weekly (or when available)Other adhoc reports that may be requested

Maintains company contracts in Agiloft System and flags point persons on contract expiration dates for proper dispositionProvides logistical requirements and assistance in the areas of Trainings, Business Conferences, Sales & Marketing events and other company wide programs/ events.Manages PIC Scholarship Program by coordinating with partner NGO for onboarding/offboarding scholars, monitoring program expenses against budget, facilitating mentor-mentee relationship between PIC employee and scholar, initiating fund raising activity for the ProgramRequirements:

University degree5-7 years of administrative or secretarial support to Senior/Middle ManagersAdvanced skill in Microsoft Excel, Word, PowerpointDetail-oriented with the ability to work with speed and accuracy in a fast-paced environmentCan work both autonomously and collaborate across teams and functional areasArticulate with above average verbal and written communication skillsReporting onsite 5x a weekAuthorized to work in the Philippines without sponsorship
