Job Title : Executive Assistant

Department : Administration

Reports To : Executive Vice President

FLSA Status : Exempt

Prepared By : Human Resource Department

Summary : The primary mission of this position is to relieve the Executive Vice President of administrative type functions in order to increase the time a Executive Vice President has available for executive level functions. Responsibilities such as: Schedules appointments, gives information to callers and takes dictation.

Essential Duties and Responsibilities: include the following. Other duties may be assigned.

Handles a wide variety of situations and conflicts involving the clerical and administrative function of the office, which often cannot be brought to the attention of the executive.

Compose correspondence requiring knowledge of Executive Vice President's view, philosophy, and some understanding of technical matters; may sign for executive when technical or policy content has been authorized.

Notes commitments made by Executive Vice President during meetings and arranges for staff implementation.

On own initiative, arranges for staff members to represent organization at conferences and meetings, establishes appointment priorities, or reschedules or refuses appointments or invitations.

Summarized the content of incoming materials, specially gathered information, or meetings to assist Executive Vice President; coordinates the new information with background office sources; draws attention to important parts or conflict.

Locates and attaches related documents of correspondence which require the personal attention of the Executive Vice President.

Reads outgoing correspondence for Executive Vice President's approval and alters writers to any conflict with the file or department from policies or Executive Vice President's viewpoints; gives advice to resolve the problem.

Anticipates ways in which Executive Vice President's time may be saved.

Handles details of a confident nature, and performs administrative functions based on understanding of company policy, Executive Vice President's views and philosophy, which can be assumed by this level of executive secretary.

Schedules appointments, gives information to callers, take dictation for Executive Vice President.

Reads and routes incoming mail to appropriate parties.

Performs other secretarial and administrative duties.

Education and/or Experience:

Bachelor's degree (B. A.) from four-year College or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

Language Skills:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills:

To perform this job successfully, an individual should have knowledge of Spreadsheet software and Word Processing software.
