Overview:
THE ROLE:The Senior Executive Assistant will provide high level administrative support to our Chief Operating Officer. The role will work directly with the COO to support all aspects of their daily work needs. The role will perform a variety of advanced executive administrative duties and projects. The role must be able to work independently, flexibly, and with limited or no supervision. The role will have significant interactions with C-Suite Executives, Senior Management team leaders and high-level internal and external business partners. The role will provide an opportunity to demonstrate leadership capabilities when asked to prepare presentations for the C-Suite team/or Board Members, prepare highly sensitive communications and assist with strategic projects as requested. In addition, this role will be responsible for a full range of administrative support including answering phones, maintaining calendars, greeting high level outside guests, meeting coordination, travel arrangements, handling correspondence, processing expense reports, and general senior level office duties.HOW YOU WOULD CONTRIBUTE:Serve as a liaison between the COO and other internal and external partnersPrepare documents, research, and presentations for high-level meetings with limited or no supervisionAbility to think ahead to anticipate complex needs and update team or external clients when necessaryPerform advanced, diversified and confidential executive administrative duties and projectsExercise judgment in selecting methods and techniques for obtaining solutionsCoordinate global team communications and meetings with cross-functional teamsPrioritize matters of attention for the COO; manage executives calendar; schedules/coordinates meetings; handles any meeting preparation effectively with limited or no supervisionScreen and respond to incoming calls and follows up on outgoing callsDraft correspondence for executive (emails, agendas, meeting minutes, letters, memos, script notes, etc.)Process and tracks billing, expense reports, etc. and provide analysis as neededDisperse executive documents, as well as creating and maintaining files (electronic and hard copy); Use care in handling and maintaining confidential and sensitive informationBook and manage complex travel, both domestic and international up to and including visa process, consulate communications, passport renewal, etc.Flexible hours are requiredSUPERVISORY RESPONSIBILITIES:N/A#LI-EG1Qualifications:SKILLS AND BACKGROUND REQUIRED TO BE SUCCESSFUL:Minimum 8-10 years of Corporate Administrative experience supporting Senior Management and Executive Team MembersDemonstrated ability to effectively communicate with C-suite client contactsStrong organizational and interpersonal skillsExcellent time-management skills, with the ability to multitask regularlyExpert in MS PowerPoint, Word, Excel and Outlook as well as Adobe AcrobatPrioritize to ensure all assignments are completed in an accurate and timely manner while anticipating Executive needsMust be adaptable to an environment where needs and priorities are subject change frequentlyCommon sense, dependability, loyalty, discretion, resourcefulness, maturity and attention to detail are requiredExcellent communication skills written and oral (must have a professional and courteous demeanor)EducationAssociates Degree (Bachelors Degree preferred)Or in lieu of an additional 2+ years of relevant work experience in a Corporate Administrative role supporting Senior Management and Executive Team Members
