Job Overview:

We are seeking an experienced Executive Assistant to provide dedicated support to Jim Alkove, CEO of Oleria. You will take ownership of scheduling, coordinating both domestic and international travel, and managing strategic projects and events as needed. We're looking for someone who thrives in a dynamic environment and can collaborate effectively across teams and with external stakeholders. The ideal candidate for this role has honed their expertise in executive support, bringing a thoughtful approach to building efficient processes that optimize both your own and the CEO's time.

This position requires presence in-office at least 3 days per week at our headquarters in Bellevue, WA. Up to 25% travel required.

Responsibilities:Schedule Management:Manage the CEO's complex and changing calendar, working through scheduling roadblocks while optimizing for the needs and priorities of the CEO and the business.Ensure the CEO is prepared for all engagements, including coordinating agendas, briefing documents, and any necessary follow-up.Communication and Correspondence:Serve as the primary point of contact for internal and external communications on behalf of the CEO.Screen and prioritize incoming emails, phone calls, and other correspondence.Draft, edit, and proofread internal and external communications, including memos, reports, and presentations.Act as a gatekeeper, facilitating communication between CEO and stakeholders.Meeting Coordination:Plan and coordinate meetings, including logistics, agendas, minutes, and follow-up actions.Organize board meetings and executive team meetings.Travel Management:Arrange complex domestic and international travel itineraries, including transportation, accommodation, and any necessary visas or documentation.Ensure smooth and efficient travel experiences for the CEO.Confidentiality and Discretion:Handle sensitive information with the utmost discretion and maintain strict confidentiality.Ensure compliance with company policies and practices related to information security and privacy.Project Management and Support:Assist with various special projects and initiatives as assigned by the CEO.Monitor progress on key projects and ensure timely follow-up and completion.Relationship Management:Build and maintain positive relationships with internal and external stakeholders, including staff, clients, vendors, and partners.Act as a liaison between the executive and key stakeholders.Event Planning:Support in coordination of corporate events, conferences, or off-site meetings, including all logistical details.Skills and Qualifications:

6+ years of experience as an Executive Assistant or in a similar role, showcasing a refined expertise in executive support and a thoughtful approach to process optimization.Proven experience providing CEO support, with a demonstrated ability to efficiently manage executive schedules and prioritize tasks effectively.Exceptional verbal and written communication skills, with a polished, warm, and professional tone.Strong proficiency in Google Workspace.Proficiency with MacOS.Highly organized, adept at handling complex requests from multiple stakeholders with efficiency, clarity, and attention to detail.Strong interpersonal skills, with the ability to build and maintain relationships with key stakeholders and work closely with a talented team of administrative professionals.Comfortable with ambiguity and adaptable to change, demonstrating the ability to thrive in dynamic environments.Proven ability to handle confidential information with discretion, maintaining a high level of integrity and professionalism.Excellent professional references, reflecting a consistent track record of reliability and excellence in past roles.Why Join Us:
