Role Description:The Executive Assistant II is responsible for providing comprehensive administrative and secretarial support to the department and executive-level assistance to the Senior Staff Executive Member. The role involves coordinating events, managing budgets, providing analytical support, managing correspondence, preparing reports and presentations, scheduling appointments, and maintaining confidential files. It also requires making travel arrangements, reconciling, and maintaining expense records, and handling visitors and telephone requests.

Essential Duties & Responsibilities:

Maintains the supervisor's schedule, receives, and determines the nature and priority of requests, obtains appropriate input as needed. Follows through to schedule and arrange all details, including conducting research and assembling/developing information and materials on various matters.Coordinates executives' travel, tracks assignments, and follows up on work in progress with responsible staff.Screens calls, visitors, and mail, responding promptly to sensitive requests for information with tact and diplomacy.Prepares, compiles, and distributes correspondence reports.Prepares presentations, reports, spreadsheets, and executive summaries from notes, verbal instructions, or rough drafts.Takes and transcribes minutes of various meetings.Provides logistic and planning support for meetings, workshops, calls, and department meetings.Develops, implements and monitors the office's budget.Analyzes information, implements new procedures, and evaluates alternative office products and technologies for enhanced efficiency.Oversees and evaluates the work of support staff within the Office.Handles special assignments and projects as required.Prepares highly sensitive and confidential regular and special reports.Oversees the maintenance of time and attendance for the Office.Streamlines internal processes to enhance workflow and provides organization-wide support to executives.Performs other duties and projects as assigned at the discretion of the supervisor.Supervisory Responsibilities : N/A

Key Working Relationships:

Interacts with Executive Staff Members and their staff, high level officials from district government agencies and private organizations, officials from neighboring water/sewer utilities, customers of DC Water, numerous citizen groups, and the general public. Contacts are for the purpose of arranging and coordinating appearances and meetings, receiving, and exchanging information, resolving sensitive problems, and facilitating actions affecting DC Water's programs, services, and procedures.

Skills & Qualifications:The qualifications listed below are representative of the knowledge, skill, and ability necessary for an

individual to perform each essential responsibility satisfactorily. Reasonable amounts of training are

provided.

Required Skills & QualificationsRequired Experience:

Six (6) years of progressive administrative assistant experience leading up to work that was in a senior administrative capacity.

Minimum Education Requirements:

Associate's degree in Business Management or related field from an accredited college or university; or a HS diploma or equivalent with eight (8) years of progressive administrative experience leading up to work that was in a senior administrative capacity.

Preferred Skills & QualificationsPreferred Experience:

Knowledge of the services and functions of DC Water. Demonstrated experience as a personal assistant, managing schedules, appointments, and meetings for senior executives and leadership team.

Preferred Education Requirements:

Bachelor's degree in Business Management, Business Administration, Accounting, or Public Administration or related field from an accredited college or university.
