We are looking for a cleared Executive Assistant for our government client near Arlington, VA.
Responsibilities:
Perform SACO duties such as tracking and maintaining control over Directorate internal and external tasks; ensuring appropriate coordination of responses within and outside the organization. Provide reminders supporting compliance of these staff actions. Perform actions in the Task Management Tool system as required. Review Action Officer products routing through to the Director. Products will be reviewed for formatting, readability, tense (active voice), and grammar as documents will be signed by G-4 senior leadership. Support the Director and Division Chiefs by tracking and coordinating tasks and ensuring tasker timelines are met. Daily provide to the Director: calendar support, correspondence support, providing reminders that support staff action compliance, daily accountability of Directorate personnel, and creation of travel orders in the Defense Travel System (DTS). Collect and review Directorate level reports, summaries and correspondence for format, content, and follow the guidance and compliance in Army Regulation 25-50. Track the status of mandatory training requirements to support timely compliance. Track administrative requirements such as requirements related to the civilian personnel system inputs (Job descriptions, goals and objectives, counselling's, evaluations, Individual Development plans (IDPs) to prescribed timelines. Provide support to similar data keeping as directed. Publish or modify via administrative updates to Directorate files and postings on SharePoint to include the organization and maintenance of Directorate files on the G-4's electronic shared drives. Assist with the planning, preparation, coordination, and setup of Directorate level meetings, video teleconferences, and conferences. Develop and coordinate meeting documents such as agendas and meeting minutes - in conjunction with IT. Participate in the weekly DCS, G-4 Executive Officer meetings and attend any other required meetings as directed. Plan, track, create and modify all calendar items as directed by the Director, working with Directorate representatives and others within and outside the organization. Provide the calendar daily or as requested by the Director. Other functions as directed by supervisor. Qualifications:
Active DoD Secret Clearance Associate's degree and 4 years of relevant experience OR 7 years of experience offering support at the executive level. Must possess outstanding verbal and written communication skills to include advanced use of MS Teams, MS PowerPoint, MS Word and MS Excel in order to communicate information effectively. Must be able to maintain effective working relationships with a range of staff levels: General Officers, Senior Executive Service Members, Department of the Army Civilian, Military Personnel, and Contract staff.
