The Administrative/Secretary Assistant will provide comprehensive administrative and clerical support to ensure the smooth and efficient functioning of the office. This role involves a variety of tasks including managing schedules, handling correspondence, organizing files, and coordinating meetings. The ideal candidate will be highly organized, possess excellent communication skills, and be capable of multitasking in a fast-paced environment.
Responsibilities:
Administrative Support: Perform general administrative duties including answering phones, managing emails, and maintaining office supplies.Scheduling: Coordinate and manage appointments, meetings, and conferences. Maintain calendars and schedules for senior staff.Documentation: Prepare, format, and edit documents, reports, and presentations. Handle confidential information with discretion.Correspondence: Draft, proofread, and distribute emails, memos, letters, and other communication materials.Filing and Records Management: Maintain electronic and paper filing systems. Ensure documents are properly organized and easily accessible.Data Entry: Input and update data accurately in databases and spreadsheets.Customer Service: Greet and assist visitors, and provide information and support as needed.Project Assistance: Support various projects and initiatives as directed by management.Qualifications:
Excellent written and verbal communication skillsStrong organizational and time management skillsAbility to multitask and prioritize tasks effectivelyAttention to detail and problem-solving skills
