Overview:

POSITION OVERVIEWFidelity National Title/National Commercial Services is seeking an Executive Assistant to join our growing team. The Executive Assistant supports both our key executives and our sales team by managing various administrative functions and sales and marketing activities. The Executive Assistant serves both internal and external customers.The primary responsibilities for this role include employee engagement & corporate event planning, booking travel, writing and editing KPI reports and proposals, purchasing client gifts, facilities management (meeting room preparation, break room organization, etc. for meetings and other group events), calendar and email management, assisting sales with inventory management of promotional materials, along with shipping marketing materials to conferences, assisting with employee engagement functions, notifications to managers of upcoming performance reviews, and other employee engagement functions.LOCATIONThis role sits onsite at our Denver, CO office.DUTIES & RESPONSIBILITIESManages administrative and clerical duties as outlined above.Compiles and sends reports to Executives and assists with other reporting as needed for Executive team.Assists with scheduling for key executives for meetings, conferences, and client and vendor meetings as required.Assists with setting travel arrangements and conference registrations for company executives for out-of-town travel.Ensures conference supplies are shipped to conferences to support Sales efforts.Assists with email and calendar management and support for key executives as needed.Participates in and assists with scheduling, coordination and planning of office celebrations and client events.Orders lunches and meals for meetings and events.Helps to support People Operations with employee correspondence and engagement activities.Helps the Sales team manage marketing inventory including ordering and shipping marketing and display materials for out-of-town conferences, shipping supplies and assuring return of marketing collateral after conferences.Assists with Sales/Marketing reports and dashboards. Updates HubSpot as needed to support the needs of the Sales team.Manages and coordinates conference calendar for Sales and Client Management teams.Assists with REL social media posts, newsletters and blogs as needed to support Marketing efforts.Other duties as assigned or deemed appropriate.MINIMUM REQUIREMENTSHigh School Diploma or GED.Requires 4+ years of experience in an administrative role reporting directly to upper management.Requires 2+ years of MS 365 experience.Expertise at pulling data, data analysis and report building.Advanced Excel skills with the ability to create pivot tables and formulas.Excellent written and verbal communication skills.Ability to maintain confidentiality of information related to the company and its employees.Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.PREFERRED EXPERIENCEBachelors degree.Experience in overseeing budgets and expenses.Experience in developing internal processes and filing systems.Proficiency with office productivity tools and an aptitude for learning new software and systems.Flexible team player, willing to adapt to changes and unafraid of challenges.This position is eligible to earn compensation in the range of $75,000 - $85,000 annually based on location and job-related factors such as skillset and experience. The base compensation is one component of the total rewards package offered to our employees, including insurance (medical/dental/vision/life/disability), matching 401(k) plan and matching employee stock purchase plan.
