Key Responsibilities:
Tropicana Brands Group is seeking a proactive, highly skilled Executive Assistant to support the Chief Supply Chain Officer and his leadership team. This role is critical in driving the efficiency and productivity of the supply chain organization, ensuring key initiatives and goals are successfully executed.
As the right hand to the CSCO, the ideal candidate will be an expert in managing complex schedules, coordinating international and domestic travel, and handling confidential information with discretion. You will liaise seamlessly with internal teams and external partners, taking ownership of key administrative responsibilities that allow the executive and leadership team to focus on strategic priorities.
Key Responsibilities:
Calendar Management:
Serve as the gatekeeper of the CSCO's time by managing a high volume of complex, ever-changing schedules. Coordinate domestic and international travel, balancing the needs of the executive with conflicting priorities.Strategic Communication & Coordination:
Proactively collaborate with Executive Assistants supporting the leadership team, ensuring clear communication and alignment. Anticipate and resolve potential schedule conflicts in advance, keeping all stakeholders informed.Confidentiality & Discretion:
Handle sensitive information and maintain strict confidentiality around schedules, communications, and executive activities.Project Management Support:
Assist with tracking and maintaining project timelines, updating action plans, and coordinating key project meetings. Ensure milestones and deliverables are met on time.Expense & Budget Management:
Prepare and reconcile expense reports and manage purchase requisitions. Assist with budget monitoring by managing invoice approvals and tracking expenditures, providing the CSCO with accurate monthly budget forecasts.Document & Presentation Creation:
Produce polished PowerPoint presentations, Word documents, and Excel spreadsheets. You will also be responsible for organizing and coordinating large meetings or events, both in-person and virtually, across multiple global locations.Meeting Coordination & Office Management:
Set up video conferencing, conference calls, and in-person meetings for small and large groups, using media technology effectively. Manage office supply orders and ensure the smooth operation of day-to-day administrative tasks, including reception, mail services, and security.Phone & Email Management:
Screen and manage phone calls, monitor incoming emails, and sort mail based on priority, ensuring urgent matters are flagged appropriately for action.Executive Support:
Understand the executive's priorities, preferences, and working style. Anticipate needs and take initiative to resolve issues before they escalate, ensuring the CSCO remains focused on high-impact activities.Requirements:
Minimum 5 years of experience as an Executive Assistant, supporting senior leadership.High school diploma or GED required; Bachelor's degree preferred.Willingness to adapt and thrive in a blended work environment, seamlessly transitioning between remote work and in-office operations 3x a weekMust have permanent, unrestricted U.S. work authorization (citizen, green card, or unrestricted EAD)These MUST be included in all job descriptions.Also add any other true requirements (certifications, System expertise, etc.Proven ability to anticipate needs, with exceptional attention to detail and strong written and verbal communication skills.Excellent communicator and problem-solver with a strong work ethic; must be a self-starter who can think independently and manage multiple projects simultaneously.Strong interpersonal skills, with the ability to collaborate effectively at all levels, both within and outside the organization.Global mindset and ability to navigate ambiguity, delivering results even without direct oversight.Demonstrated success in managing administrative processes, meeting deadlines, and maintaining a positive, solution-oriented attitude.Professional communication style, with impeccable attention to detail and accuracy in both written and oral formats.Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and SharePoint.Highly organized, proactive, and capable of managing competing priorities in a fast-paced, dynamic environment.Ability to handle sensitive and confidential information with the utmost discretion and integrity.Strong time management skills, with the ability to adapt to changing priorities and deliver results under pressure.Proven ability to partner with other administrative staff to manage conflicting schedules and priorities.Excellent problem-solving skills with the ability to quickly address and resolve administrative issues.Understanding of the team's business objectives to proactively anticipate administrative needs.
