Executive Assistant.The Executive Assistant will be responsible for supporting the SVP of Strategic Initiatives and his team including Strategy Development & Growth, Corporate Development, Sustainability, and Communications. This position will support the departments meetings, trainings, and travel planning in addition to providing general administrative support. Manage complex calendars for multiple executives; including, but not limited to scheduling business and personal appointmentsCoordinate and prepare for meetings, conferences, and events, including agenda preparation, meeting minutes, and follow-up actions for executivesCoordinate complex travel arrangements (domestic and international) for multiple executives, department leaders, vendors, and outside business partners including flights, hotels, car service, dinner reservations, and other necessary itemsConduct research and compile data to prepare reports, presentations, and briefing materials for executivesCreate, establish, and maintain confidentiality and secure department documents and filing systemOversee administrative functions and ensure smooth operations within the executive officeCoordinate complex accounting activities (multiple expense reporting, complex invoices, purchase orders, etc.)Screen and prioritize incoming calls, emails, and correspondence, directing them as appropriateCreate, produce, distribute, and compare reports; perform basic to intermediate analysis of report summariesComplete ad hoc special projects as assignedSeek to improve job performance through self-assessment, skill development, training and goal settingMaintain a regular and reliable level of attendance and punctualityPerform miscellaneous job-related duties as assignedIn addition to these job functions, candidates will also need to display proficiency in the following Competencies:CommunicationCustomer ServiceDetail-OrientedEthics and ValuesExecutingFlexibilityWorking With a TeamEqual Opportunity Employer/Disability/VeteransQualifications
Minimum:Five (5+) years or more of administrative experience supporting one or more executive leadersType 60 or more wpm with accuracyProficiency in MS office support toolsAbility to sort, alphabetize and number documents in a timely and organized mannerAbility to maintain confidential information and discretionHigh School Dipoloma/GEDMust be authorized to work in the United States and not require work authorization sponsorship by our company for this position now or in the future
