Wedding and Special Events Manager
Position Purpose:
Manage all aspects of Wedding and Special Events to include following up on leads, conducting site inspections, creating proposals, preparing contracts, create BEO's, resumes and fact sheets and oversee function set-up and execution to ensure client satisfaction. Ensure pricing structure is in line with cost effectiveness while meeting client's needs and remaining financially responsible to the resort. Drive top line revenue through the Wedding and Special Events channel.
Essential Duties:Meet with clients both in person and on the phone; finalize bookings; write proposals, create wedding and event agreements while upselling to maximize revenue.Create and distribute banquet event orders (BEO's) and change logs on a timely basis.Create and distribute resumes and fact sheets on a timely basis.Oversee function/events to ensure set-up, food, décor, entertainment, etc. is according to resort standards, client's satisfaction and agreed upon arrangements.Develop new and creative ideas for weddings and special events to include theme parties, décor, menus and entertainment.Stay up to date on current on wedding trends, food and beverage offerings, etc. while understanding operational department capabilities.Be proficient in the wedding and special event sales process - initiating customer contact, qualifying, follow up, negotiation, contracting and service delivery.Conduct site inspections for potential weddings and special events clients. Develop and communicate site inspection strategy, agendas, correspondence and provide a strong site inspection knowledge and experience.Support catering and conference services by taking and executing convention and/or corporate groups as needed.Develop and strengthen strong relationships with all operational departments to garner support for the wedding and special event business.Provide a high level of guest service and satisfaction in all areas of the resort.Perform administrative tasks such as contracts, proposals, presentations, etc.Create and utilize wedding and special event presentations during site inspections, industry events, etc. to drive business, and close the sale.Review financial aspects of all proposals and contracts to ensure profitability for the resort.Ensure billing details and/or master accounts are settled timely and to the satisfaction of the client and resort.Attend industry events/bridal shows off island to promote weddings and special events at MKR.Create, negotiate and be knowledgeable in hotel wedding and catering contracts.May entertain clients to sell or secure business.Understand and support hotel goals and objectives.Complete all trip reports, expense reports and repayment of travel advances accurately and within 1 week after returning.Assist in the training and development of members of the Catering & Convention Services department.Attend and support all departmental and hotel meetings.Perform other related duties as assigned or required.
Other Duties:Actively participate in industry and community initiatives.Participate in creating catering and wedding initiatives to drive business and top line revenue.Represent Mauna Kea Resort in a professional, respectful manner.Attend resort management meetings.
Working Conditions:Normal office conditions, sitting, lifting, standing.Outdoors to give tour of the resort or greet clients.Must be able to travel off island or out of state.
Work Hours:Must be able to work schedule determined by the Director of Catering & Conference ServicesMust be able to work long and irregular hours as needed.Must be able on occasion to work in excess of 50 hours per week.
Equipment Use:Proficient use of computers, resort's applications to include CI-TY, Opera, Outlook, Word, Excel, etc.Ability to use the telephone.Ability to use various office equipment including but not limited to calculators, photocopiers and facsimile machines.Must have passport, State ID.
Mental and Physical Demands:Ability to prioritize and organize workload to ensure deadlines are met.Able to manage stressful and challenging situations.Able to stand and walk up to 3 hours in a day to meet with clients, conduct tours, meet with departments and attend meetings.Able to sit at a desk to do administrative duties.Travel on airplanes; carry luggage and sales and marketing material occasionally.Lift, carry, push, and pull up to 50 lbs.
Communication Demands:Must have the ability to effectively communicate English in person, over the phone or in writing to guests, employees, potential clients and vendors.Able to conduct presentations to large or small groups of people.Must be able to receive feedback and coaching as necessary.Ability to negotiate contracts and overcome objections.
Minimum Qualification Requirements:4 year college with degree; or minimum 3 years related hotel sales and services experience.Must be personable, tactful, patient, tolerant, assertive, respectful and self-motivated.
