Director of Catering and Conference ServicesPrimary Responsibilities:
Manage and coordinate all of the activities of the Catering and Conference Services Department. Meet with clients to determine details and write proposals for the functions or events booked at the resort. Ensure pricing structure is in line with cost effectiveness and to meet the client or group’s needs. Timely response to inquiries from clients; upsell services and food and beverage. Ensure group or function charges are properly billed. Complete all required forms and distribute to the appropriate departments. Attend function meetings. Oversee set-up and function to assure client satisfaction.Essential Duties:Prepare annual operating and CIP budget for the department.Ensure set-up, food preparation entertainment, etc. for functions is according to resort standards, clients satisfaction and negotiated arrangements.Establish department procedures, policies and standards.Approve and monitor function space booking during peak times; maximize all available function space.Meet with clients; finalize the bookings; write proposals and contracts; upsell to maximize revenue.Assign group bookings, function or events to C & CS managers.Respond immediately to client’s concerns, and all other written or verbal inquiries.Prepare marketing plan to solicit annual accounts and secure business in the local market.Current on trends in food and beverage; understand operational department abilities.Prepare department marketing plan; handle inquiries and develop them into definite bookings.Interface with other department managers to maintain open communications.Ensure billing details and/or master accounts are settled to the satisfaction of the guest and the hotel.Review financial aspects of all proposals and contracts to ensure profitability for the resort.Entertain clients to sell or secure business; does tours of the facilities.Lead resort meetings to ensure effective communication with other departments to meet or exceed a client's needs.Hire, train, supervise, evaluate, counsel and discipline department staff.Review, approve and verify department payroll.Responsible for schedules, labor cost and department operating expense.Develop and implement new and creative ideas for theme parties; décor, menu and entertainment.Knowledgeable in local liquor laws and county ordinances to assure compliance by the resort.Perform other related duties as assigned or required.
Other Duties:Conduct regular department meetings.Attend resort management meetings.Update department bulletin boards.
Working Conditions:Normal office conditions.Indoor and outdoor function spaces in various weather conditions.Travel between hotels on the resort.
Work Hours:Must be able to work schedule set by the Director of Sales (& Marketing).Must be able to work long and irregular hours.Must be able to work in excess of 40 hours per week.
Equipment Use:Proficient in the use of the computer and with the resort’s word, spreadsheet and catering software.Ability to use various office equipment including but not limited to calculators, photocopiers and facsimile machines.Ability to use a telephone.
Mental and Physical Demands:Ability to prioritize and organize workload to ensure deadlines are met.Able to work under pressure, manage stressful situations and multi-task.Sits at a desk to perform most of the essential functions of the position.Must be able to stand and walk the property to oversee functions throughout the resort, meet with clients, or give tours.
Communication Demands:Must be able to effectively communicate in person, over the phone or in writing, with guests, employees and vendors.Ability to do presentations to large or small groups.Effectively disperse information at meetings or to affected employees and departments.Must be able to train employees, write procedures, policies, manuals, memos, etc.Ability to negotiate contracts.
Minimum Qualification Requirements:6 years work related experience.Skills to effectively supervise and manage the department and meet goals.Ability to analyze financial information.Ability to investigate and resolve complaints promptly.Must be pleasant, smiling and friendly.
