About The Role
Platform Science is looking for an experienced Executive Assistant to support members of our executive team. You will be coordinating complex schedules and travel arrangements, managing expenses and budgets, guiding projects to completion, and managing effective communications to support leadership initiatives. The ideal candidate will be effective in working with leadership, administrative, and other teams as needed across the organization and will thrive in rapid-paced, startup environments. This position reports to the Chief of Staff and the primary onsite working location is at company headquarters in San Diego, California. Hybrid work is amenable by way of proven effectiveness in this position.
Essential Responsibilities
Manage & coordinate complex calendars for the Executive Team creating schedules that allow executives to complete their obligations in an organized, efficient way.
Manage end-to-end travel needs, including logistics and visas, and coordinate itineraries across multiple stakeholders.
Ensure financial accountability by managing expenses, purchases, and budgets for the leaders/teams you support.
Draft and manage correspondence and communications on behalf of the leadership team, as appropriate.
Maintain close connection with business partners including the Chief of Staff, Office Management, Finance & the People Operations teams to facilitate agreement and alignment across compliance and efficiency.
Support employees and projects across multiple applications including Confluence and GSuite etc.
Effective meeting management support (i.e. taking meeting notes, tracking action items, and occasionally drafting agendas as needed).
Participate in special projects as requested by and/or approved by your manager.
Education and Experience
5+ years as an Executive Assistant supporting VP+ levels, preferably with experience in both small and larger organizations.
Advanced knowledge of GSuite (Google Docs, Sheets, Slides, etc.) and comfortable using Macs.
Proactive inclination and keen ability to anticipate the needs of executive leaders.
Ability to navigate Executive Team requests with thoughtful methodologies to uncover possible solutions.
Demonstrated team-player showing history of successful collaboration across a wide variety of projects.
A service-oriented individual who is adaptable in a fast-paced environment.
High-level discretion when handling sensitive information.
Proven success communicating with team members across all levels internally as well as with a variety of external VIP contacts outside the company (including board members, advisors, customers, vendors etc.).
Experience building or drafting executive-level materials, including slide decks, talking points, and meeting notes.
Exceptional communication skills, both written and verbal.
Demonstrates a high level of attention to detail.
Local to the greater San Diego region.

This is a non-exempt role. Our job titles for each posting may span across more than one job level. The estimated hourly rate for this position is between $22.00 to $38.00 per hour. The range displayed on each job posting reflects the minimum and maximum target range for new hire hourly rates across all US locations. Compensation packages are based on many factors unique to each candidate, including but not limited to skill set, work experience, relevant trainings and certifications, business needs, market demands and specific geographical location. The hourly pay range is subject to change and may be modified in the future. This role may also be eligible for bonus, equity, and benefits.
