Purpose of Position and Scope of ResponsibilityThe Associate Registrar is under the direct supervision of the Registrar. The Associate Registrar-Records & Registration manages academic records for all current and former students and supervises maintenance functions, current student enrollment verifications, and the processing of student schedule changes, ensuring compliance with University policies and the Family Educational Rights and Privacy Act (FERPA). The Associate Registrar oversees registration functions based on an understanding of University policies and procedures and database systems, including registration. The Associate Registrar produces the class schedule, maintains numerous data systems, and works in cooperation with the Registrar and others to ensure academic policies and procedures are enforced and proper records are maintained.Principal Accountabilities/Responsibilities:Maintain working knowledge of transcript evaluation, determine equivalencies, and oversee such evaluations.Work with faculty, staff, and students to assist in records and registration processes, including class schedules, withdrawals, records setup and corrections, student major/minor/advisor records, graduation applications, plans of study, grades, current student enrollment verifications, and statements of standing.Maintain daily updates and monitoring of academic student records.Enter grades and grade changes for Dual Enrollment and other departments not automatically uploaded into the system.Assist the Registrar in the preparation and conduct of the graduation ceremony for the College of Arts and Sciences and College of Health Sciences. Distribute graduation information to graduates.Attention to detail is a general responsibility, but is required.Perform related accountabilities/responsibilities/assistance as required or directed.Minimum QualificationsKnowledge/EducationExperience with an automated student information system is required. Ability to understand and successfully apply academic policy for higher education with emphasis on registration and record keeping.Desired QualificationsKnowledge/EducationMaster’s Degree and 2 years working with higher education academic records; knowledge of FERPA regulations; demonstrated supervisory skills; experience with an automated student information system is required. Ability to understand and successfully apply academic policy for higher education with emphasis on registration and record keeping.Physical Requirements:Work requires little or no physical effort. Lifting or performing other work requiring light physical exertion (up to 30 pounds) is intermittent (not a routine part of the job) and secondary to the job.Environmental Conditions:Work is performed under basically normal working conditions as in a standard office environment.
