Overview
We are seeking a highly organized and proactive Associate Chief of Staff to support our Chief Digital Technology Officer (CDTO). This position is crucial in ensuring that the CDTO's time, tasks, and priorities are managed effectively, enabling them to focus on driving the company's digital and technological initiatives. The ideal candidate will be a strategic partner who can manage day-to-day operations, handle complex administrative tasks, and serve as a liaison between the CDTO and other departments.
Key Responsibilities
1. Executive Support
Manage and prioritize the CDTO's calendar, scheduling meetings, appointments, and travel.
Act as the point of contact between the CDTO and internal/external stakeholders.
Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CDTO.
Facilitate CDTO weekly L10 meetings and quarterly planning sessions, ensuring critical follow-up items are completed in a timely manner.
Handle sensitive information with the utmost discretion and confidentiality.
2. Strategic Planning and Coordination
Assist the CDTO in the development and implementation of digital and technological strategic plans.
Oversee special projects and initiatives related to digital transformation, ensuring alignment with company goals.
Coordinate cross-functional teams to ensure timely execution of CDTO-led projects.
Provide support in the preparation of reports, presentations, and meeting agendas specifically related to technology and digital initiatives.
3. Team Liaison
Serve as a communication bridge between the CDTO and department heads, ensuring alignment and clarity in directives.
Facilitate communication within the digital and technology teams ensuring effective collaboration.
4. Decision Support
Provide data analysis and insights to support the CDTO in decision-making processes.
Conduct research and compile information to assist in the preparation of briefs and reports.
Anticipate the needs of the CDTO and proactively address potential issues.
Education and Experience
Bachelor's degree in Business Administration, Management, Information Technology, or a related field.
5+ years of experience in an executive administrative or Chief of Staff role, preferably in a technology-driven environment.
Exceptional organizational skills and attention to detail with the ability to manage multiple priorities and projects in a fast-paced environment.
Strong interpersonal and communication skills, with the ability to interact with stakeholders at all levels.
Proficiency in Microsoft Office Suite required (Word, Excel, PowerPoint, Outlook).
High level of integrity and discretion in handling confidential information.
Proactive problem-solver with the ability to anticipate needs and take initiative.
Preferred Qualifications
Experience in a fast-growing or entrepreneurial technology environment.
Project management certification or experience.
Familiarity with digital transformation initiatives and trends.
