Part-time Program Coordinator - Linguistics and Computational Linguistics

is delighted to announce a career opportunity as a Part-time Program Coordinator for the Linguistics and Computational Linguistics programs. The Program Coordinator will oversee the daily operations of, and provide administrative support for, the Linguistics (Ling) and Computational Linguistics (CL) programs. The Program Coordinator will work independently and collaborate with the Computer Science (CS) Department Office and Division of Science Graduate Affairs (DivSci Grad Affairs) Office, who provide support for these programs as well. The Program Coordinator will carry out the major tasks enumerated below, associated with the academic cycle, and assist the Ling & CL Chair and Vice Chair, CL Director of Graduate Studies (DGS), Ling Undergraduate Advising Head (UAH), and program faculty with a wide variety of administrative functions and projects.
This is a part-time position at 17.5 hours weekly and is eligible for benefits.
Job Description
General Administration and Projects:
Provides full administrative support for the Chair and Vice Chair of the Ling and CL Programs, the Ling UAH, the CL DGS, and the faculty of both programs, collaborating and interfacing with the CS Department Office and DivSci Grad Affairs Offices as relevant on all matters of administration and operations. This includes: coordinating program meetings and recording minutes; triggering and monitoring the sending of administrative emails to students and other campus offices; coordinating with the DivSci Grad Affairs Office to organize approvals and maintain mailing lists and calendars for the programs; and assisting with the CL MS program’s industry outreach and industry receptions. (30%)
Curriculum and Registration:
Works independently and with the CS Office to avoid time conflicts between relevant CL, LING, and CS courses, troubleshooting related scheduling issues as they arise and monitoring the schedule of classes for accuracy, omissions, and potential conflicts. Communicates with other university offices regarding curricular matters and assists with registration issues such as checking prerequisites for undergraduate students enrolling in graduate CL courses. Coordinates with the CS Office to spearhead annual Bulletin revisions. (10%)
Faculty Support:
Works independently and with the CS Office to: manage logistics of faculty searches, including scheduling meetings and making travel arrangements; organize tenure and promotion cases; and field faculty questions related to technology, Brandeis or program policy, and other general information. (15%)
Budget:
Works independently and with the CS Office, the Division of Science functional groups, and university offices to: manage budgets and projects for faculty whose labs lack such staff support; maintain detailed and current budget figures with projections for both internal and external funds; and track faculty grant data such as rate of work, cost of tasks, availability of assistants/consultants, and progress towards deliverables. (10%)
Events:
Manages virtual and live event planning in collaboration with the CS and DivSci Grad Affairs Offices as relevant, including weekly talks and career development sessions, orientation, CL MS recruitment efforts, CL industry receptions, and end-of-year and commencement-related activities. Tasks include coordinating event scheduling, room booking, and food orders; managing event announcements; assisting with communications to and booking of potential speakers; and coordinating with the CS Office to oversee the actual running of all events. (25%)
Records:
Coordinates the maintenance of data and analytics for alumni, industry contacts, and placements in both programs, in collaboration with CS and DivSci personnel when relevant. Creates and maintains lab, working group, and project websites. Keeps up-to-date database of products; conferences; and publications for labs, working groups, faculty, postdocs, and students. (10%)
Requirements
High School diploma or GED required; Bachelor's degree strongly preferred.
1-3 years of work experience required.
Ability to drive preferred.
