ADMINISTRATIVE ASSISTANT
The Administrative Assistant operates within the Tampa SunGuide (TBSG) Regional Transportation Management Center (RTMC) in a full-time capacity, reporting directly to the RTMC Technical Administrative Coordinator.
SUMMARY OF POSITION
The Administrative Assistant responsibilities include providing comprehensive administrative support to the Department's Contract Manager, as well as other FDOT ITS personnel within the RTMC, the RTMC Manager, and additional RTMC staff for daily operational needs within the RTMC and TBSG operations.
The Administrative Assistant is responsible for handling confidential administrative tasks and performing standard administrative duties, including managing office files, preparing, reviewing, and editing documents, maintaining calendars, and coordinating meetings. This position collaborates closely with the RTMC Technical Administrative Coordinator.
REQUIREMENTS FOR IDEAL CANDIDATE
High school degree or equivalentNotary Public in State of FloridaTwo years of proven experience:
As an administrative assistantGovernment Contract, preferred.
Demonstrated ability to communicate complex issues in plain language verbally and in writing.Proficiency with Windows-based and Microsoft applications.Knowledge of office principlesProven ability utilizing office-related equipment.Excellent ability to record meeting minutes.Excellent filing abilityAbility to coordinate multiple real-time activities and priorities.Ability to solve problems.Critical thinking skills.Excellent interpersonal relationships.Pass a state law enforcement background check and 9 panel drug screening.Adhere to all Lucent Group, Inc. and FDOT rules and regulations, policies and procedures.DUTIES:
Provides/coordinates administrative support services to the RTMC and assumes the role as an administrative liaison with internal and/or external sources.Assists in managing complex budgetary, personnel, and purchasing functions by interpreting and implementing FDOT administrative policies and procedures.Supports monthly invoicing efforts.Performs routine office or clerical support tasks according to well-established procedures. Examples include receiving, logging in, sorting, and distributing mail, preparing outgoing mail, preparing payment documents, photocopying, filing, posting, or proofing data, or answering telephone calls and recorded messages.Works performed may also include composing routine correspondence, drafting memos, preparing routine reports, preparing presentations, maintaining/processing records and invoices for various expenditures, logging correspondence, scheduling meetings or appointments, arranging travel, screening and directing incoming calls, providing information, maintaining files, or transcribing dictation.Prepares documents using Microsoft applications, formats, proofs, edits documents for errors.Provides/coordinates relief for the RTMC Receptionist in their absence. • All other tasks assigned by the Department.Top of FormTOTAL REWARDS:
