Essential Job Functions As a Litigation Services Assistant at Kirkland, you will be responsible for maintaining the firmwide docket and calendar for various state, federal and regulatory matters and process conventional and electronic filings in various state and federal courts and before regulatory agencies. The Litigation Services Assistant will advise members of the Litigation Department on all matters of the calculation of deadlines, court rules, civil procedure, filing protocol and will assist in reviewing, approving, serving, and transmitting filings to courts and government agencies. The Litigation Services Assistant will maintain these and other critical functions: ESSENTIAL FUNCTIONS Coordinate and perform calendaring functions, which may include some or all of the following: Maintain firm general litigation and/or intellectual property (patents, trademarks, copyrights and annuities) calendar u tilizing a firm-approved calendaring program; Regularly communicating deadline to firm-wide litigation teams using the best available means; Preparing additional calendar reports upon request; Adhering to firm-wide best practices in calendaring; Act as liaison between case teams and vendors regarding service of process and coordination of delivery/retrieval of documents from courts; Maintain and update various department resources; Coordinating court and bar admissions, communicating to attorneys and practice assistants, directing the data collection and verification process, and establishing workflows for addressing incoming and departing attorneys' admissions. Maintaining electronic court filing (ECF) passwords; Responsible for quality control of docket and calendar entries; Ensures that lawyers are timely notified of filing deadlines and court appearances; Assists with issues relating to service of process including engaging process servers; Assists with review of new cases and rule changes to ensure that lawyers are kept apprised of recent developments under state rules, FRCP and FRAP; Assists with and handles electronic case filings in addition to hard copy filings and document retrieval; Searches and extracts information from court-related databases, websites and relevant docketing and calendaring applications including, but not limited to, PACER, Bloomberg Law, Court Alert, Lexis, and Westlaw; Screens and reviews incoming court documents and office correspondence to calculate and calendar relevant deadlines using the firm's docketing system; Perform various projects and tasks as assigned. Qualifications & Requirements As a Litigation Services Assistant, you will be expected to apply your organizational and communication skills while displaying a positive, high-energy attitude. The successful Litigation Services Assistant must be able to apply court rules in multiple jurisdictions quickly, efficiently, and in a manner which instills confidence and ensures the accurate flow of information. The Litigation Services Assistant must have well-developed and professional interpersonal skills, high-level customer service skills, organizational skills, and the ability to handle confidential and sensitive information with appropriate discretion. The successful candidate will have proficiency with CompuLaw and/or CourtAlert, with PC applications including MS Office, and with various online court systems such as PACER and NYSCEF.
