This position requires a self-motivated professional who is skilled in a full range of administrative support functions. This position supports the Human Resources Department and is responsible for the Departments day-to-day administrative needs including answering phones, ordering supplies, managing calendars, and coordinating meetings. This individual will report to the Human Resources Manager.
Duties and Responsibilities include, but are not limited to:
Calendar management for the Human Resources ManagerResponsible for office cleanliness, office supply inventory, and organizationMiscellaneous filing, record keeping, and data entry as neededAssembling orientation and benefits packets, setting up personnel filesAssembling data lists and/or reportsManaging employee event coordinationReconciling department expendituresAssisting with recruiting (e.g. tracking applicants, scheduling interviews)Writing, proofreading, and formatting email correspondenceManage food orders and distribution during department eventsMaintain an in-person presence in order to support ad-hoc requests from team members and employeesRequired Qualifications:
Dependable, able to follow instructions, responsive to management direction, and a strong desire and willingness to improve and learn through feedbackAbility to maintain the highest level of confidentiality in both internal and external relationshipsExcellent customer service skills including the ability to interact with a variety of different personalities and communication stylesExcellent verbal and written communication skills including a follow-up/status update mindset and excellent active listening skillsProficiency in Microsoft Office programs (MS Word, MS Excel, MS PowerPoint and MS Outlook)Ability to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze informationEssential Job Functions:
Requires mobility and the ability to bend and reachMay infrequently require lifting, carrying, pushing, and/or pulling materials weighing up to 30 pounds.Manual dexterity and coordination are required; repetitive hand motion (e.g., to operate computer keyboard)Vision at close distances and the ability to adjust focus for prolonged periods (i.e., computer screen)Ability to remain sedentary or stationary for prolonged periods of timeAbility to write for extended periods of timeAbility to work in an office setting for prolonged periods of timeMay be asked to carry up to 20 lbs. up and down a flight of stairs on a regular basis such as files, books, office equipment, etc.Occasional reaching overhead and lifting up to 15 poundsAbility to converse and communicate information with othersOccasional exposure to chemical vapors and/or fumes in low non-hazardous concentrationPotential to climb up and down steps on a daily basisMust be able to read and understand SDS
