Overview:
The Office Stock Clerk is responsible for ensuring the efficient and accurate stocking of supplies in the office, kitchen and snack closet and maintains the office space, ensuring conference rooms are clean and acts as the first point of contact for employees and visitors in the Administration building. Provides administrative support to ensure efficient office operations and collaborates with employees at all levels within the organization and must be able to maintain professional working relationships, and provide excellent customer service.Responsibilities:Maintains supply inventory; verifies inventory levels by checking shelves, notifies supervisor as to replacement needs or places orders as appropriateOrders, receives, and stores supplies in supply room, kitchen and snack closetReviews incoming order forms for proper coding, quantities requested, and authorized approvals; inspects and verifies supplies received against invoice and packing slip; initiates requests for vendor correctionsLocates stock and delivers requested items to authorized departmentsContacts approved vendors to reorder routine supplies; processes paperwork related to supply requests, including small purchase orders, purchase requisitions, and check requestsEnsures customer satisfaction and positive rapport with vendorsCollaborates with maintenance staff and outside vendors to identify needed preventative maintenance and/or repairs of office equipmentPerforms clerical duties related to maintaining stock inventories; may operate a computer terminal and/or personal computerCleans and maintains conference rooms and shared space areas.Assists visitors (as needed) and maintains a professional and welcoming reception areaPerforms data entry and general administrative tasks, including printing, laminating, and scanning documentsDevelops and maintains processes to keep files and office supplies organized and easily accessibleAssists with project coordination and follow up on tasks to ensure deadlines are metAssists with logistics for meetings, including printing materials and cateringProcesses FedEx, Certified, and Interoffice Mailers as neededPerforms miscellaneous job-related duties as assigned
Qualifications:REQUIRED EXPERIENCE, EDUCATION AND LICENSE:High school diploma, GED, or sufficient previous work historyMinimum of six (6) months of experience working in a professional administrative or related capacityPREFERRED EXPERIENCE, EDUCATION AND LICENSE:Proficiency in SharePointBilingual English/Spanish language skills
