MTA is one of the largest transit systems in the United States and is seeking dynamic and energetic individuals to join the MTA team!
The Maryland Transit Administration (MTA) is recruiting for an "Administrative Assistant I". The "Administrative Assistant I" will serve as the eyes and ears of the office by providing information, answering questions, and responding to requests. Ensure optimal use of office equipment, supplies, and inventories through preventive maintenance and management. Maintain efficient workflow by analyzing and refining standard operating procedures, including scheduling, communications, and office layout. Coordinate internal and external resources to streamline workflow and meet deadlines, while overseeing the achievement of organizational goals and upholding best practices. Provide front-desk coverage by managing a busy multiline phone system, greeting guests, handling incoming and outgoing mail and shipments, and ensuring the office environment is clean and organized. Additionally, offer administrative support to senior leaders, including email correspondence and the creation and distribution of memos, letters, spreadsheets, forms, and faxes. Plan, organize, and schedule company meetings, both in the office and off-site, as well as via videoconference. Coordinate domestic and international travel arrangements for employees, and maintain filing systems, contact databases, employee lists, and inventory records.
Qualifications
Education: Graduation from a standard high school or possession of a high school equivalency certificate.
Experience: One year of experience in secretarial or clerical work involving typing or stenographic duties.
Notes:
Applicants may substitute additional secretarial or clerical experience on a year-for-year basis for the required education.
Applicants may substitute an Associate of Arts degree with a major in Secretarial Science from an accredited college for up to two years of the required experience.
U.S. Armed Forces military service experience as defined under the Minimum Qualifications may be substituted for the required education and experience on a year-for-year basis.
Licenses & Certifications
Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator's license valid in the State of Maryland.
Additional Information
Protective Equipment Requirements: Protective equipment is required for the performance of duties approximately 10% of the time. Employees will be expected to wear and use various types of protective equipment, including safety shoes, safety vests, protective clothing, eye protection, and hearing protection. Additional personal protective equipment (PPE) may be required depending on the specific job or task being performed.
