Responsibilities
Health Research, Inc. is seeking an Administrative Aide. This position will be part of a dynamic team aiding in the AIDS Institute's mission to end epidemics, fight stigma, and promote health for all New Yorkers. The Bureau of HIV/AIDS Epidemiology conducts routine HIV and AIDS surveillance, innovative surveillance projects, and special HIV/AIDS epidemiologic research, including behavioral surveillance of persons at risk for HIV and interview studies of persons receiving medical care for HIV. Data dissemination activities allow the NYSDOH and community agencies to monitor and track the HIV/AIDS epidemic in NYS. The bureau also provides information to target resources and to evaluate programs.
The Administrative Aide will provide administrative support for the Bureau Director and Assistant Director and other staff within the AIDS Institute's Bureau of HIV/AIDS Epidemiology. Responsibilities include managing the Bureau Director's calendar, coordinating schedules and Bureau calendars, scheduling meetings, and handling all logistics, answering, and triaging telephone calls, assisting with creating/editing presentations, documents, and spreadsheets, preparing travel paperwork, and making travel arrangements, assisting with BHAE purchasing activities, and performing other related duties as assigned.
Minimum Qualifications
Bachelor's degree in a related field; OR an Associate degree in a related field and one year of general office, secretarial, or administrative experience; OR three years of such experience.
Preferred Qualifications
At least three years of experience providing administrative support to staff in an office setting. Experience working with a variety of software, including MS Office (Word, Excel, and Power Point) in the preparation of documents, graphs, slides, presentations, and spreadsheets. Experience with e-mail systems, specifically Outlook, and electronic calendars. Experience with data entry and strict handling requirements for sensitive and/or confidential data or information. Experience managing multiple phone lines.
Conditions of Employment
Grant funded position. Compliance with funding requirements such as time and effort reporting, grant deliverables, and contract deliverables, is required.
Valid and unrestricted authorization to work in the U.S. is required. Visa sponsorship is not available for this position.
This position requires that the incumbent will report to the official work location and live within commuting distance to the official work location. Telecommuting will be available.
