This position will be a hybrid work arrangement, which translates to 2-3 days minimum per week in the office.
The Analyst, Closing Coordinator will serve as a member of the Primary Portfolio Operations team, which supports the global Primary Investment team in areas such as fundraising, investing capital, as well as serving as a key role in the business operations of the team. The role will have exposure to a wide range of activities with primary responsibility for the coordination of Primary partnership closings. The individual will act as a liaison with internal teams such as Accounting, Treasury, Compliance, Tax, and Portfolio Analytics, in addition to external parties. The Analyst will also work closely with the Primary Investment team in Boston, Toronto, London, Hong Kong, and Singapore.
The ideal candidate is someone who is:An exceptionally organized individual with an outstanding attention to detailA team-player that is able to efficiently prioritize multiple projects and meet target dates with little direct supervisionQuick to develop a strong understanding of new systems, data relationships, and processesAble to communicate professionally and confidentially with colleagues of all levels and across multiple teamsWhat you will do:
Work broadly across HarbourVest departments to support the closing of primary partnership investments, providing necessary documentation for General Partner subscriptions relating to Tax, AML/KYC, contact information, and wire instructionsWork closely with the Primary Investment deal teams and external legal counsel to monitor and track the status of deals along with collecting, monitoring, remediating, and reporting large sets of data for internal and external useObtain appropriate internal and external approval documentation and notify internal team members of closings of investment commitmentsLaisse with Portfolio Construction Committee, deal teams, and Portfolio Analytics group to ensure allocation amounts are accurately captured and updated within internal systemsDevelop and maintain closing dashboards and tools for individuals within the firm to utilize related to investment closings and implement opportunities for process optimizationReview, coordinate with internal Legal, Compliance and deal teams, and respond to AML/KYC process inquiries and requests throughout an investment's termEnsure compliance with all internal documentation and reporting procedures and upload legal agreements and closing documents to the document storage system and depositary portalPrepare capital call documentation and interact with General Partners to obtain external authorized contacts and wiring instructions to assist with Treasury's timely funding of investmentsAnd other responsibilities as requiredWhat you bring:
Proven problem-solving and analytical skillsStrong attention to detailAn ability to handle multiple projectsExcellent written and verbal communication skillsExperience working with Microsoft Excel, Word and PowerPointPrior experience with private markets or corporate law would be an assetEducation Preferred
Bachelor of Arts (B.A) or equivalent experienceBachelor of Science (B.S) or equivalent experienceExperience
2-5 Years of relevant experience preferred
