We are looking for an Administrative Assistant, bilingual preferred, bilingual (Spanish/English). They will perform a variety of administrative and clerical tasks. The duties of the Administrative Assistant include providing support to our managers and employees, assisting with daily office needs, and managing our company’s general administrative activities. Administrative Assistant responsibilities include making travel and meeting arrangements, preparing reports, and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you have previous experience as a Secretary or Executive administrative assistant and familiarity with our industry, we’d like to meet you. Ultimately, a successful Admin Assistant should ensure our office's efficient and smooth day-to-day operation.Responsibilities:IT New Hire Set-up experience a plus and preferredAssist in the preparation of regularly scheduled reportsDevelop and maintain a filing systemUpdate and maintain office policies and proceduresAnswer and direct phone callsOrganize and schedule appointmentsWrite and distribute email, correspondence memos, letters, faxes, and forms
Order office supplies and research new deals and suppliersMaintain contact listsProvide general support to visitorsAct as the point of contact for internal and external clientsLiaise with executive and senior management to handle requests and queries from senior managersSkills:
Bilingual (Spanish & English) preferredProven experience as an administrative assistant or office admin assistantKnowledge of office management systems and proceduresWorking knowledge of office equipment, like printers and fax machinesProficiency in MS Office (MS Excel and MS PowerPoint, in particular)Excellent time management skills and the ability to prioritize workAttention to detail and problem-solving skillsExcellent written and verbal communication skillsStrong organizational skills with the ability to multi-taskHigh School degree; additional qualification as an Administrative assistant or Secretary will be a plusAssociates or Bachelor Degree Preferred
