Job Responsibilities

This position is located at the Department of Mental Health,
Pee Dee Mental Health Center Lake City Office , 675 N. Matthews Rd. Lake City, SC 29560.
Under the general supervision of the Clinic Director, supervises the front office and performs a variety of administrative support and advanced administrative duties; exercises judgement in the application of established office practices and procedures.
Responsibilities for this Administrative Specialist II
include but are not limited to:Supervision to ensure scheduling of appointments for clinical and medical staff to meet centralized scheduling requirements of 3 months out. Scrutiny of 'white space' report is performed to assure scheduling is met. Ensures appointment reminder calls are made 24 & 48 hours out.
Supervision to ensure that all non-treatment administrative staff perform duties in a timely and efficient manner according to all standards. Ensures appropriate office coverage at all times and cross training of staff is maintained. Front office presents a professional and courteous atmosphere for clients and other staff, confidentiality is maintained, staff are notified promptly of appointments and appointments are scheduled accurately, request for records are issued timely, provides coverage, and completes other duties and reporting as required. Planning stages and EPMS of all subordinate staff is completed timely and meetings are attended as directed. Employee will adhere to all SCDMH and PDMHC Corporate Compliance Standards to include education, responsibility, auditing, standards, enforcement, and reporting.
Supervises administrative staff to ensure data entry of required client information in CIS and EMR and any changes to such information as required and as changes occur in accordance with State and Center policies and standards. Financial reviews are completed yearly and necessary information updated.
Ensures that client cases (open, closed, volumized) are maintained in accordance with Center and State guidelines. Ensures closed charts are prepared for microfilm per SCDMH guidelines and all current client information is scanned into EMR record timely. Periodically audits chart information to a assure accuracy is maintained and standards are being met.
Ensures that cashiers maintain deposit records, daily cash box records, and deposit collected monies according to SCDMH and Center policies and procedures.
Accounts receivable is monitored on a daily basis, checked in DHHS. Daily reporting on clients with balances that exceed $2,000 are reported per request and clients with balances are being met with face-to-face to work out financial arrangements.
Will perform other duties as assigned.Minimum and Additional Requirements
State Minimum Requirements:
High School Diploma; related experience may be substituted for a high school diploma.
Agency (Facility) Minimum Requirements:
High School Diploma with 2 Years Clerical experience.
