Looking for a challenging and dynamic role that will provide you with learning opportunities every day? The Wastewater Planning and Monitoring Division is looking for its next office administrative assistant to support its leadership team in meeting the organization's mission of protecting public and environmental health.

This position provides general administrative support to the Deputy Director for Stormwater and Wastewater divisions, and the Division Director and the Branch Chiefs in Wastewater Planning and Monitoring Division.

This includes:

Responding to inquiries from staff, board offices, and citizens. Drafting, reviewing, and processing business documents and memos, including board items. Maintaining confidentiality related to personnel and executive level correspondence. Managing and purchasing office supplies to support general operational needs. Serving as the division records manager. Maintaining holding files for documents requiring signature and following up to ensure that action item response deadlines are met. Coordinating and scheduling meetings; monitoring and scheduling conference rooms as needed. Maintaining the calendar of deputy director for Stormwater and Wastewater. Supporting the division's financial staff in preparing, filing and maintaining records. Responsible for submitting work orders for maintaining office equipment Processing all paperwork and certified mail for grant applications and other documents. Supporting the tracking of division wide training. Managing all division business travel and conference arrangements. Managing office events, agency-wide events, large meetings, conference room calendars and assisting with the annual department picnic.

Wastewater Management positions are responsible for providing uninterrupted sewer service to residents during adverse weather or other emergencies. This position is designated as emergency service personnel and is subject to 24-hour on-call and may be required to report to work during adverse weather or other emergencies, including after-hours and weekend work during emergency incidents to fulfill emergency service duties.

MINIMUM QUALIFICATIONS:Any combination of education, experience and training equivalent to high school graduation and three years of experience providing administrative support in the assigned functional area(s).

CERTIFICATES AND LICENSES REQUIRED:A valid driver's license.

NECESSARY SPECIAL REQUIREMENTS:The appointee to this position will be required to complete a criminal background check and driving record check to the satisfaction of the employer.

PREFERRED QUALIFICATIONS:

2+ years of experience in writing and proofreading senior level business documents 2+ years of experience in purchasing and managing office supplies. 2+ years of experience in managing travel arrangements. 2+ years of experience in front-line customer service. 3+ years of experience in managing office events and administrative projects. 3+ years of experience in managing and maintaining office records.

PHYSICAL REQUIREMENTS:Ability to communicate, both orally and in writing. Ability to input, access, and retrieve information from a computer. Ability to lift up to 15 pounds. Ability to operate county vehicles to various locations throughout Fairfax County to attend meetings and provide coverage. Ability to produce organized and legible handwritten, typed/computer generated documents including the use of graphics. Position is generally sedentary. However, it requires the ability to stoop, bend, and reach. All duties performed with or without reasonable accommodations.
