Position Summary
This position will provide professional-level administrative support to the Associate Provost for Research and Student Training. The administrative assistant will be tasked with managing the AP's calendar, coordinating SPRUST office activities, and serving as the office receptionist. Due to the time sensitive tasks of SPRUST, the candidate must have highly developed task and time management skills. Accuracy to detail is essential. A successful application must be able to assist ORSP team in areas of Research Administration, be able to follow through assignments until completion with minimum supervision, and maintain a high standard of confidentiality.
Required Qualifications• A high school diploma is the minimum educational requirement for this position• Minimum of 3 years of previous work experience in an Administrative position is required• Previous project management experience is preferred
Preferred Qualifications
Background in working in a post-secondary educational institution or in a fast-paced, diverse and changing environment (e.g.: banking, investment, insurance, financial services, marketing, etc.). Commitment to professional development to ensure continued success of Sponsored Research and Undergraduate Student Training. A self-starter, independent and critical thinker, and problem solver.
Preferred Education/Experience
Education and experience equivalent to:
Bachelor's degree; supplemented with at least one year of related experience OR
Associates Degree and three (3) years of relevant experience.
Required Knowledge, Skills, and Abilities
The successful candidate must possess strong technology skills, including experience with word processing, databases, and spreadsheet software, and search engines, and demonstrate proficiency in Microsoft Office Suite.
Personal qualities will include the ability to work in a collegial fashion as part of a team, the ability to establish and maintain collaborative relationships with diverse constituencies including individuals, faculty, staff, students, departmental and senior administrators and external partners. A positive, customer-service oriented attitude is essential for this position. The position requires flexibility in work hours.
Additionally, the successful candidate must demonstrate the following:• Extensive knowledge of MS Office suite of software programs• Knowledge of tools used for preparation of tables, charts, posters, etc., i.e., Publisher, Adobe Acrobat, Canva, Photoshop• Knowledge of cloud-based applications (i.e, Box, OneDrive) and proficiency in storing, sharing, and organizing documents in these programs• Discretion when dealing with all matters for the department• Knowledge of Morehouse procedures for booking facilities, securing catering, and other internal services• Excellent interpersonal skills to facilitate effective interaction with faculty, staff, students, and representatives from external institutions and organizations• Ability to perform tasks with a sense of urgency is required• Ability to maintain updates of software programs and administrative procedures
Physical Demands
This is an in-person position and the successful candidate will be required to be physically present in the office during business hours.Additionally, this position has the following physical demands:Must be able to open and close the office (if required) on a daily basisFrequent standing, sitting and walking for extended periods of timeAbility to use hands or fingers extensively to operate standard office and mobile equipmentAbility to occasionally lift up to 20 lbs as necessaryMust be flexible to work evenings or weekends as necessaryEssential Duties/Responsibilities

Assist the Associate Provost for Research and Student Training as neededAssist in the day-to-day administration and management of SPRUSTAssist with the coordination and execution of SPRUST events, especially the Dream Makers Summit and the Summer Undergraduate Research Expo.Maintain the SPRUST calendar and the AP's calendar, schedule meetings, and make appointmentsAssist with maintaining the SPRUST databasesMaintain a neat, clean and updated bulletin boardensure the SPRUST/ORSP intranet sites are currentMake travel arrangements and handle other office logisticsPrepare SPRUST correspondencePrepare requisitionsProvide administrative assistance to the Morehouse Institutional Review Board (IRB)Serve as office receptionistSupervise work-study studentPerform other duties as assigned
