Position Summary

The Andrew Young Center for Global Leadership (AYCGL) is comprised of three interdependent institutes and an academic department designed to provide institutional, national and international leadership that examines major problems, presents solutions for global challenges, studies social justice based leadership, offers social justice activism training, develops social change agents, and provides co-curricular experiences designed to prepare students for lives as global citizens and leaders. The institutes of the Center are:

I. THE INSTITUTE FOR RESEARCH, CIVIC ENGAGEMENT, AND POLICY

II. THE LEADERSHIP STUDIES PROGRAM

III. THE INSTITUTE FOR SOCIAL JUSTICE INQUIRY AND PRAXIS

IV. THE INSTITUTE FOR INTERNATIONAL AND EXPERIENTIAL EDUCATION

The Administrative Assistant will support the work of the AYCGL with approximately 50% of their time supporting the AYC - Higher Education in Prisons Program.

Required Qualifications• Minimum of 3 years of previous work experience in an administrative position is preferred• Some administrative professional experience at a college or university preferred

Required Knowledge, Skills, and Abilities• Ability to create and edit written correspondence as needed• Amiable in interactions with internal and external constituents• Possess discretion and ability to manage confidential information• Must demonstrate knowledge of office management principles and procedures• Skill in organizing resources and establishing priorities• Ability to direct student employees and address student concerns• Ability to coordinate and organize meetings and/or special events• Have high level of proficiency in software platforms used by the College, such as Box, Blackboard, Interfolio, Terminal Four, Doodle, Formstack, Word, Excel, Banner• Have strong skills in the Microsoft Suite• Demonstrate knowledge of Morehouse procedures for booking facilities, securing catering, and other internal services• Demonstrate knowledge of business processes for requisitions, supplies, equipment, travel, etc.• Ability to perform tasks with a sense of urgency is required• Ability to effectively collaborate with internal and external partners• Ability to multitask-to capably handle multiple responsibilities during very busy periods

Physical Demands• Frequent walking, standing, or sitting as required• Ability to work evenings and weekends for occasional special events as necessary• Must be able to open and close department office

Essential Duties/Responsibilities

Essential Duties/ResponsiblitiesGreet and assist internal and external constituents (students, faculty, college administrators and guests) who enter the office with questions and concerns; answer incoming calls and assist callers.Draft correspondence, copy, fax, scan, and digitize documents, and transcribe notes as requested by the directors with utmost confidentiality.Maintain electronic data management systems to include student or faculty information, consultant contracts, requisitions, general files, program surveys, program grant proposals and their financial award and budget recordsManage data in Excel and/or Banner (i.e., Student Information Systems)Maintain AYCGL web pagesUtilize Morehouse College software platforms; Banner, Starfish, Travel Inc., Interfolio and others as implemented by CollegeDemonstrate exemplary skills in the use of technology to advance the work of the office, including Microsoft Office (Excel, Word, Power Point and Publisher)Manage use of rooms and secure facilities, and arrange catering for eventsCoordinate events associated with the AYCGL, including conferences and hosting visitorsPrepare documents, including progress and other reports for AYCGL programsMaintain office supply inventory (hardcopy and electronically) and order supplies throughout the yearManage procurement and requisition process for supplies, equipment, travel, etc.Manage HR and Business processes for hiring of faculty, staff, and studentsServe as a liaison to Business Office to initiate and manage vendor set-up process, purchases, etc.; Reconcile invoices as part of budget management systemManage budgets for the AYCGL and Higher Education in Prisons ProgramWork with other internal departments to process request/repairs, i.e. Physical Plant Department, Information Technology, Office of Records and Registration etc.Arrange travel for AYCGL staff and studentsAct as a liaison with outside vendors to receive services and quotes (i.e. Apple, Staples, Travel Agencies, Hotels, Restaurants, etc.)Demonstrate professionalism to all guests, faculty, and studentsCollaborate with internal and external partners in a professional and effective mannerPerform other duties as assigned
