The Bureau of Information and Telecommunications (BIT) is an internal service organization, providing a wide variety of IT services to state agencies and the offices of elected officials. The executive communications officer manages communications to our customers and internal communications for the BIT team, ensuring messaging aligns with the mission, vision, and guiding principles of the organization.
Duties include, but are not limited to:
draft, proofread, and edit internal and external communications for the Commissioner's office, including the following:monthly reports to the Governor's office;annual presentations to the Legislature's Joint Committee on Appropriations and the Bureau of Finance and Management;presentations to the Legislature's Government Operations and Audit Committee;monthly all-staff meetings.ensure smooth communication between BIT and customer agencies, maintaining professionalism and discretion;create a monthly communications calendar to address new initiatives, upcoming changes, and technology trends with users;assist with drafting messages to users about planned and unplanned outages;create monthly video updates on IT issues to be sent to users;oversight of regular BIT-issued materials, such as monthly cyber security materials and information on strategic directions;develop PowerPoint presentations, reports, and other materials for the Commissioner's meetings, presentations, and public engagements;assist in visualizing data and reports to support strategic discussions led by the Commissioner;attend BIT Senior Leadership Team meetings;recommend communications related to initiatives discussed in weekly meetings;provide input on customer-related issues;provide meeting preparation for key meetings;prepare agendas, gather briefing materials, and take notes during meetings;attend key meetings as needed, documenting action items, and ensuring follow-up on meeting decisions;serve as the BIT media contact;meet regularly with the Governor's Office communications team;manage interview requests for the Commissioner;write talking points to assist Commissioner with interviews;manage specific projects and initiatives as assigned by the Commissioner, ensuring progress aligns with key deadlines;monitor the status of the Commissioner's projects, ensuring that all deliverables are completed on time and to the highest standard;organize New Employee Orientation activities.The Ideal Candidate Will Have:
a bachelor's degree in Journalism, Public Relations, Business Administration, Public Administration, or a related field is preferred. A minimum of 3-5 years' experience in an executive support or operations role, preferably in a governmental or large organization.Knowledge, Skills, and Abilities:
strong organizational and time-management skills;proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook);excellent written and verbal communication skills;ability to maintain confidentiality and professionalism; and,strong attention to detail and problem-solving ability.
