Job TitleUniversity Events Assistant
Summary
The University Events Assistant will assist the Project Manager, Integrated Marketing & Communication (IMC) in the development and execution of key university events including enrollment recruitment and marquee events, the University's Commencement Exercises, and other university events throughout the academic year. This role will encompass a range of tasks, including coordinating with stakeholders across campus, occasionally liaising with external vendors, managing day-of logistics and execution, and overseeing the planning and coordination leading up to the event. Although the position is part-time, the number of weekly hours is likely to increase in the spring semester as commencement nears. This position is a full year commitment.
Duties and ResponsibilitiesAssist the University's Project Manager with operational tasks for executing marquee recruitment events and University Commencement.Schedule, track, and draft communications about University Commencement to students, parents, and the University community.Act as a liaison between the Project Manager and internal vendors such as catering, ITS, and facilities for University Commencement and marquee recruitment events.Assist with the daily operations around event planning, execution, and breakdown.Maintain the Commencement website in collaboration with IMC.Respond in a timely and professional way to student and parent questions about Commencement, whether by phone or email.Keep students apprised of Commencement news by establishing a social media presence.Help maintain clear communications between Integrated Marketing and Communication (IMC), the Office of Academic Affairs (OAA), and other offices and individuals on campus who are involved in commencement planning (e.g., Facilities, Registrar, Campus Ministry).Explore commencement practices at other schools to determine what innovations might be incorporated into the JCU event.Attend meetings specifically related to events, including the recruitment events taskforce weekly meeting.Maintain and regularly update a timeline of duties carried out by the members of the Commencement committee and recruitment events taskforce.Assist the Project Manager in Commencement-related tasks.Participates in the development of new events as requested by the Project Manager and VP of Enrollment and Marketing.Other duties as assigned by the Project Manager (IMC) or VP for Enrollment and MarketingRequired Qualifications
Knowledge and experience with project planning and/or events managementStrong verbal, writing, and editing skillsAvailability to maintain regular, part-time on-campus hours and additional hours the weeks leading up to commencement and other major events, as assignedSocial media posting expertise, particularly Instagram and TikTokFlexible, self-motivated, and able to work independentlyAbility to engage with a variety of offices and individuals on campusIntermediate computer skills (Google suite, Microsoft Office, etc.) with knowledge of classroom and events technology.Adept at working with all constituents with a high degree of professionalism and customer serviceAvailability to work weekends and evenings for event-based workAbility to perform in a fast-paced environment, manage multiple projects and meet deadlinesInterest in understanding and supporting John Carroll's mission to inspire individuals to excel in learning, leadership, and service in the region and in the worldPreferred Qualifications
Basic working knowledge of graphic design principles
Normal Work Location, Hours and Conditions
University core business hours are generally 8:30 am - 5:00 pm. However this position will require work to be performed outside of normal business hours based on department operations.
Physical Requirements
Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; to travel to other office locations and to verbally communicate to exchange information.

Compensation & Benefits
Starting salary will be $16.75 - $18.00 per hour, commensurate with qualifications.
