The Washington State Office of Superintendent of Public Instruction (OSPI) seeks to fill multiple vacancies at the Administrative Assistant 3 level within the Student Engagement & Support Division. These full-time permanent positions are based in Olympia, Washington. This position may be eligible for partial telework. Telework is a combination of in-building and off-site days. OSPI's mission is to transform K-12 education to a system that is focused on promoting educational equity and is characterized by high expectations for all students and educators. The Student Engagement and Support (SES) Department is committed to providing programming and system supports needed to promote positive school cultures and advance the academic, social, and psychological well-being of every young person. SES services are grounded within an MTSS framework to actively dismantle systems that result in disparate student outcomes and replace them with processes and practices that cultivate a culture for learning for all Washington state students. SES efforts are directed toward system leaders driving continuous improvement planning and activities focused on school attendance and continuous engagement through creating safe and secure learning environments, as well as creating a responsive system of support for student physical, behavioral, and social/emotional health. The SES team values the voice of students, parents, and communities as we work to ensure our work is aligned with, and build upon, the strengths of our youth and families. Members of the SES team have focused work in to one of six program areas, including: 1) Attendance & Reengagement; 2) Social and Emotional Learning; 3) Student Discipline and Behavior Support; 4) Behavioral Health Systems & Supports; 5) Student, Family and Community Engagement; and 6) School Safety.

Key Responsibilities Administrative support for travel and purchasing

Receive travel requests from team members and prepare required OSPI documents for approval.Keep up to date on travel and purchasing rules and procedures.Process monthly reimbursement claims and track approvals.Process purchasing requests, payment of invoices, and approvals.Organize and plan meetings, workshops, and conferences

Communicate and coordinate with facility site staff.Prepare documentations such as meeting expense forms, committee/consultant forms, meeting notices, agendas, correspondence, handouts, and meeting minutes.Arrange materials for attendees. Maintain participant database, distribution lists, invoices, nametags, and letters of confirmation to presenters/speakers.Prepare budget estimates for expenditures including travel, meeting rooms, per diem, substitute reimbursements, and trainer fees, following agency and state policies.Compile contract paperwork for facilities and speakers, coordinate lodging, meals, and audio-visual needs for meetings, conferences, and training.Organize and support webinars and professional learning communities

Provide logistical support for webinars and Professional Learning Communities including scheduling virtual meetings, creating calendar invites, and supporting online registration. Provide day-of assistance with the online webinar/meeting platform, transcribe recorded webinars/meetings, and post to relevant website pages.Customer service and office support tasks

Prepare, type, edit, and send out emails and correspondence on behalf of the program. Assure that staff are aware of agency processes and procedures related to correspondence.

Prepare electronic newsletters using GovDelivery by soliciting, editing, and formatting content provided by team members.

Develop and edit program bulletins, memos, training materials, brochures, and reports (surveys, program evaluations, legislative reports, etc.) with content provided by the team.

Edit and format web content provided by the team in alignment with agency and department guidelines.

Order supplies for the department.Distribute mail for the department.Required Qualifications:

High school graduation or GED equivalent AND Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work experience ORAssociates degree AND 2 years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work experience ORBachelor's degree AND 1 year of experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work experience.In addition to those required qualifications, our ideal applicant will also have some or all of the following:

Desired Qualifications:

Proficient with Microsoft Office Suite, especially Microsoft Outlook, Word, and PowerPoint.Experience with calendar management, especially supporting supervisory positions.

Experience with management multiple tasks, with a focus on responsive, accurate work.

Possess strong writing and speaking skills: knowledge of proper English grammar, punctuation, correspondence formatting, proofreading, and using Plain Talk principles in a business setting.Compensation

The annual compensation for the position is $41,724-$55,584 per year and depends upon experience, educational background and qualifications. Geographic differentials may be applied based on work location of successful candidate. Retirement and Deferred CompensationState Employees are members of the Washington Public Employees' Retirement System (PERS). New employees have the option of two employer contributed retirement programs. For additional information, check out the Department of Retirement Systems' web site.

Employees also have the ability to participate in the Deferred Compensation Program (DCP). This is a supplemental retirement savings program (similar to an IRA) that allows you control over the amount of pre-tax salary dollars you defer as well as the flexibility to choose between multiple investment options.

Social SecurityAll state employees are covered by the federal Social Security and Medicare systems. The state and the employee pay an equal amount into the system.

Public Service Loan ForgivenessIf you are employed by a government or not-for-profit organization, and meet the qualifying criteria, you may be eligible to receive student loan forgiveness under the Public Service Loan Forgiveness Program.

HolidaysFull-time and part-time employees are entitled to paid holidays and one paid personal holiday per calendar year.

Note:

Employees who are members of certain Unions may be entitled to additional personal leave day(s), please refer to position specific Collective Bargaining Agreements for more information.

Full-time employees who work full monthly schedules qualify for holiday compensation if they are employed before the holiday and are in pay status for at least 80 nonovertime hours during the month of the holiday; or for the entire work shift preceding the holiday.

Part-time employees who are in pay status during the month of the holiday qualify for the holiday on a pro-rata basis. Compensation for holidays (including personal holiday) will be proportionate to the number of hours in pay status in the month to that required for full-time employment, excluding all holiday hours. Pay status includes hours worked and time on paid leave.

Sick LeaveFull-time employees earn eight hours of sick leave per month. Overtime eligible employees who are in pay status for less than 80 hours per month, earn a monthly proportionate to the number of hours in pay status, in the month to that required for full-time employment. Overtime exempt employees who are in pay status for less than 80 hours per month do not earn a monthly accrual of sick leave.

Sick leave accruals for part-time employees will be proportionate to the number of hours in pay status, in the month to that required for full-time employment. Pay status includes hours worked, time on paid leave and paid holiday.

Vacation (Annual Leave)Full-time employees accrue vacation leave at the rates specified in (1) or the applicable collective bargaining agreement (CBA). Full-time employees who are in pay status for less than 80 nonovertime hours in a month do not earn a monthly accrual of vacation leave.

Part-time employees accrue vacation leave hours in accordance with (1) or the applicable collective bargaining agreement (CBA) on a pro rata basis. Vacation leave accrual will be proportionate to the number of hours in pay status, in the month to that required for full-time employment.

Pay status includes hours worked, time on paid leave and paid holiday.

As provided in , an employer may authorize a lump-sum accrual of vacation leave or accelerate the vacation leave accrual rate to support the recruitment and/or retention of a candidate or employee for a Washington Management Service position. Vacation leave accrual rates may only be accelerated using the rates established WAC 357-31-165.

Note:

Most agencies follow the civil service rules covering leave and holidays for

exempt

employees even though there is no requirement for them to do so. However, agencies are required to adhere to the applicable RCWs pertaining holidays and leave.

Military LeaveWashington State supports members of the armed forces with 21 days paid military leave per year.

Bereavement LeaveMost employees whose family member or household member dies, are entitled to three (3) days of paid bereavement leave. In addition, the employer may approve other available leave types for the purpose of bereavement leave.
