Salary Range: $60,000 - $80,000
Organizational Overview:
Front Porch Investments was formed in 2021 to address the gap in the number of affordable housing options in the region. Front Porch Investments serves as a catalyst for innovative and community-centered affordable housing solutions, with a focus on investment, advocacy, and engagement. Front Porch Investments is a supporting organization of the Omaha Community Foundation, which works with donors and nonprofits to grow a stronger region.
Front Porch's funding priorities include production of affordable housing units, preservation of affordable housing units, promotion of housing justice and equity, and expansion of innovative housing options. Our primary goal is to increase funding, innovation, and strategic partnerships in support of affordable housing across the Greater Omaha metro area through our own investments and by leveraging leverages public-private partnerships to collaborate across stakeholders and strengthen the urban housing ecosystem.

The Executive Coordinator at Front Porch Investments provides essential administrative, project management, and office management support to the Executive Director and senior leadership. This role is pivotal in ensuring the efficient operation of organizational activities. The Executive Coordinator will handle a wide range of tasks, from managing calendars and coordinating meetings to overseeing office operations and contributing to project execution.
Required Qualifications:
Bachelor's degree in Business Administration, Office Management, or related field; Relevant experience may substitute for a degree.3-5 years of demonstrated experience in an executive support or key administrative role.Preferred Qualifications:
Proven ability to manage multiple tasks and priorities efficiently and accurately.Strong organizational and time-management skills with attention to detail.Excellent written and verbal communication skills.Proficient in office software and technology, including Microsoft Office Suite and online collaboration tools.Experience with basic accounting or financial responsibilities.Ability to maintain confidentiality and handle sensitive information with discretion.A proactive and problem-solving attitude with a commitment to process improvement.Previous experience working with C-level executives, including interactive experience with Board of Directors.Personal Attributes:

Administrative Support (40%)
Calendar Management: Provide administrative support to the Executive Director (ED) and FPI leadership, including managing calendars, scheduling appointments, meetings, and travel.Documentation Coordination: Assist in coordinating paperwork and documentation, such as writing and editing e-mails, drafting memos, and preparing communication.Board Support: Assist the ED with the Board of Directors and Board Committee meetings, including coordination of meetings, minutes of meetings, agenda preparation, follow-up action items, and management of the secure port on FPI's website.Report Preparation: Assist in the preparation of reports and presentations.Executive Research: Conduct research on executive matters as necessary.Expense Reporting: Perform minor accounting duties, such as assisting with expense reporting, including monitoring credit card records and invoices, and ensuring proper coding and budget alignment.Team Collaboration: Collaborate with team members to support information sharing and documentation, maintaining organized systems for archiving and record keeping.Project Management (15%)
Project Planning: Assist in the planning and execution of executive and/or other assigned projects.Progress Tracking: Track project progress and provide regular updates to the ED.Team Coordination: Coordinate with internal and external teams to ensure project alignment and success.Communication and Coordination (15%)
Communication Management: Manage incoming and outgoing communications, including emails, calls, and correspondence. Answer phone calls and monitor shared email inboxes by triaging inquiries, and provide timely responses or escalate inquiries as necessary.Mail Coordination: Manage incoming and outgoing mail and packages, including coordination of delivery of time-sensitive documents.Reception: Welcome visitors and identify the purpose of their visit before directing them to the appropriate department.Office Management (30%)
Office Operations: Oversee the smooth operation of the office, including supplies, equipment, and facilities.Procedure Implementation: Implement and maintain office procedures and systems to enhance efficiency and productivity.Budgeting: Assist with the creation of the office budget and be responsible for ordering and monitoring office supplies, as well as ordering new stationery, furniture, appliances, and electronics as required.Vendor Management: Manage office-related contracts/vendors, including submitting work orders and scheduling repairs for the general office space and equipment.Process Improvement: Contribute to the organization's efforts in process improvement by suggesting ideas for enhancing administrative systems and procedures.
