Reporting to the General Manager & Property Manager, employee will perform accounting, administrative, operations and tenant relations duties. Success in this position results in maintaining a high level of client satisfaction.
Responsibilities:Respond promptly to tenant concerns and requestsMonitor tenant service requests to completion, conducting tenant follow-up and preparing work order reports as requiredFacilitate conference room reservation requestsResponsible for new tenant transition programMaintain building and tenant signageTenant Billing: Process work order billing and prepare upload for service requests from work order system to accounting softwareAccounts Receivable: process tenant cash receipts through accounting softwareProcess invoice payments via Avid Electronic Pay SystemPrepare management fee calculationMaintain purchase order tracking spreadsheetRespond to vendor requests and concernsReview received certificates for accuracyConduct follow-up communication for inaccurate/missing certificatesMaintain tracking reports and distribute to building staffGeneral office functions, including spreadsheet creation, document copying, telephone calls, create/maintain form letters and mail merge recordsMaintain document file system for tenants, leasing, construction, building, employees and accountingEnsure constant accuracy of tenant roster, email distribution lists, emergency contact lists and other important building informationDistribution of documents via Adobe SignOther duties as requestedDesired Competency, Experience and Skills:
Candidates should possess the following qualifications:A high level of energy, drive, and initiative in the pursuit of job goalsStrong organizational skills; ability to self-start and multi-taskAdvanced oral and written communicationsExercise sound judgment and creativity in problem solvingStrong work ethic and positive attitudeManage workload commitments effectively and handle deadlines under pressureAbility to work on one's own or as part of a teamStrong attention to detailProficient in Microsoft Office; MRI/JDE/Yardi software experience a plus
This position is
100% in-office . The role requires working in office during standard business hours. Remote work or telecommuting is not an option for this position.
