Position Summary

This is a classified less than 20 hours/week position AND 5% King County Premium Pay will be added to the hourly rate.

The office assistant will be an integral part of the building office manager team. This position provides office/counter support to the Trades faculty, interacts with students, assists the building office manager with other projects, or fills in as necessary. The position will work 15 hours per week during each academic quarter and may be requested to perform some duties during the breaks between quarters. The position will be stationed in the Trades Complex but will float to other faculty office areas as requested or necessary.

The office assistant 2 plays an integral role in carrying out instructional and college procedures. The office assistant has daily interaction with many students explaining college policies and procedures and serves as a liaison between faculty, staff, and students. The office assistant provides coverage for the faculty support office in the Trades area and other areas as requested.Position Responsibilities

Faculty Support:

Post notices on classroom doors for cancelled classes and other emergency messages.May assist in the setting up and distribution of student evaluations.Order textbooks and desk copies for faculty working directly with vendors by phone, email or Internet.Research instructional data using the Internet or telephone to assist faculty in locating materials and other information.Provide class rosters to faculty when requested.Request office hours from Trades faculty each quarter and provide access to a copy of faculty office hours in the main lobby area.Assist faculty in preparing travel documents following state travel regulations and procedures.Assist faculty in preparing purchase requisitions.Student Support:

Assist students in person, by phone, or email. Act as a liaison between students and faculty. Answer questions on a variety of topics. Relay messages to faculty and back to students.Provide information on college procedures and policies to students and the general public. Give directions to other offices and services on campus - special focus on procedures related to college registration and class schedules.Notify students of emergencies and schedule changes (either by telephone, email, or in person).May proctor student exams and ensure security and timelines, if available.Distribute student tests and assignments (possibly: Distribute student tests, assignments, or course materials...) either at the office window or via mail.

General office duties:

Distribute the mail to faculty mailboxes.Answer phones and take messages or transfer callers to faculty and other offices. Retrieve voice messages and faxes.Order, receive and maintain office supply inventory.Maintain office files - both paper and electronic.Maintain photocopier paper supply and call for maintenance on office equipment.Process duplicating forms and run errands to the print shop.May deliver items to the Testing Center, Business Office, or other places on campus.

Qualifications

Minimum Qualifications:

Work experience using Microsoft Office 365.Work experience using a LAN (local area network) and/or a WAN (wide area network).Customer service experience and effective communication skills.Demonstrated skills in spelling, grammar, punctuation and proofreading.Accurate keyboarding skills and attention to detail.Basic knowledge of office equipment such as copiers, printers, and fax machinesDemonstrated experience, expertise, cultural competencies, and commitment to equity in working with students, communities, and colleagues from diverse backgrounds and identities.Ability to maintain order and composure in stressful conditions and professionally diffuse potentially escalating situations and people.A high degree of personal and professional integrity and respect for confidentiality
