Administrative Specialist II to work with our
Quality, Risk Management, and Compliance (QRMC) Department.
This position is designed to perform as the Administrative Assistant to the Chief of Quality, Risk Management and Compliance (QRMC) Department. This position will come in daily contact, by telephone and/or in person, with numerous employees, Executive Leadership, Department Leadership, Medical and/or Clinical Staff, Survey Agencies, Division of Personnel in Raleigh, the professional and general-public. It is necessary to be as knowledgeable as possible regarding the hospital's processes, policies, etc. The person in this position job related responsibilities will require collaborating with the Chief of QRMC Department to discuss hospital-wide projects, regulatory survey preparations, policy development, organizational improvement activities and monitoring improvement efforts.
The QRMC Department coordinates many regulatory surveys, such as visits from Joint Commission, Center for Medicare/ Medicaid Services (CMS), and the North Carolina Division of Health Service Regulations (NC-DHSR). This position is responsible for coordinating the daily schedule for visiting survey groups and serves as administrative liaison in this process with specific responsibilities for data collection and document completion and document distribution for review. Post regulatory surveys, incident investigations, etc., this position will organize tracking tools and collect data for evidence of correcting any regulatory violation and assist with preparing documents that support improvement actions success and will keep all records organized for easy access.
A high degree of independence and flexibility is needed in this position with prioritizing workload. This person must be able to adjust to sudden changes in work due to the varied responsibilities of this office and the many special unanticipated projects this office is asked to handle.
Other office duties include the following:
Maintain the Chief of QRMC's daily calendar by scheduling appointments, meetings and collecting needed documents for the various meetings and phone calls.This position is responsible for maintaining a confidential filing system, which is kept alphabetical, chronological, and filed by subject.This position independently sets up PowerPoint presentations as necessary, composes routine memoranda, as well as recording and transcription of meeting minutes at the request of the Chief of QRMC.This position will assist with confidential video review (or) release through a dedicated electronic application upon hospital staff request and Chief Executive Officer (CEO)/designee's approval.
It is with the utmost importance that the person in this position maintain full confidentiality of all information and will maintain secured confidential files following the hospital's Patient Safety Organization (PSO) and Health Insurance Portability and Accountability Act (HIPAA) requirements. This person routinely carries out functions within the Patient Safety Evaluation System (PSES) which may include, but is not limited to, review and analysis of events, maintaining Patient Safety Work Product (PSWP) within a secure environment, and entering patient safety event information into the designated Patient Safety Event and Patient Safety Organization (PSO) databases.
Normal Working Hours are
Monday through Friday from 8:00 a.m. to 5:00 p.m.
However, flexibility in the work schedule may be required for training or to meet hospital needs.
**This position is designated Mandatory and must report or stay over during adverse weather events.
