Airbus Helicopters is looking for an Administrative Assistant

(Temporary)

to join our team in

Columbus, MS

In this role, you will perform administrative functions and provide support to coordinate day-to-day correspondence, travel, schedule and activities for the VPs Quality and Civil Programs and their departments. You will also provide support and assistance to VPs, Quality and Civil Programs.

Your working environment:

On the eastern border of Mississippi you'll find Columbus, home to our Helicopter manufacturing and assembly lines and Center of Excellence for the entire North America region. It's here that we produce the UH-72A Lakota Helicopters for the U.S. Army in addition to the H-125 aircraft for civil and commercial customers.

Your Challenges:

Handling incoming telephone callsCoordinate and book travelPreparing, submitting and tracking expense reports and reconciling them against credit card statementsAssisting in the proper distribution of budget by coding invoices for paymentCreate purchase requests and follow-upCoordinate meeting rooms and call-in numbersCompiling data, preparing reports and distributing as necessary (including Weekly Report)Research/code invoices in SAPSubmit Gifts & Hospitality applicationsOrder meals for deliveriesCreating/assisting in the creation of presentationsHandling internal department and inter-departmental coordinationCoordinating various communication tools and activities within the department and with other departmentsPerforming research as necessaryPreparing check requests as necessaryScheduling meetings, etc., with other Airbus Helicopter departments and personnel within AHI as requiredMaintaining contacts in databaseAssisting in the maintenance of department filing systemsOrdering and maintaining office supply inventoryYour Boarding Pass:

High School degree or equivalentThree or more years of administrative or customer service experience.Proficiency in MS Office: Outlook, Excel, PowerPoint, WordProficiency in G-SuiteAbility to communicate effectively in verbal and written form in EnglishAbility to communicate effectively, verbally and in written form, and speak and hear clearly during telephone conversations with internal and external customers (English)Authorized to work in the USPreferred Education/Skills:

Some college (2 years) or equivalentProficiency in Concur, SharePoint, SAPTravel Required:

Physical Requirements:

Onsite or remote: 90% OnsiteVision: able to see and read computer screens and other electronic equipment with screens, able to read documents, reports and engineering drawings.Hearing: able to participate in conversations in person and via teleconference or phone and to hear sounds on the production floor including safety warnings or alarms.Speaking: able to speak in conversations and meetings, deliver information and participate in communications.Equipment Operation (personal computer, telephone, copies, fax machine, and related office equipment and using electronic identification card to enter building floors and internal doors): able to operate most office and personal electronic equipment and some tools including production tools such as hydraulic lifts.Carrying: able to carry documents, tools, drawings, electronic equipment up to 25lbs/11kgs.Lifting: able to lift documents, tools, drawings, electronic equipment up to 25lbs/11kgs.Pushing / Pulling: able to push and pull small office furniture and some equipment and tools.Sitting: able to sit for long periods of time in meetings, working on the computer.Squatting / Kneeling: able to squat or kneel to retrieve or replace items stored on low shelving.Standing: able to stand for discussions in offices or on the production floor.Travel: able to travel independently and at short notice.Walking (include routine walking such as to a shared printer to retrieve documents): able to walk through office and production areas including uneven surfaces.Personal Protective Equipment required: Required PPE includes, but is not limited to, Safety Shoes, Safety Glasses, Hearing Protection, Respirators/Masks, and/or Protective Gloves as required by site and/or customer siteAdministrative position only PPE required: Steel-toed shoes are required for all shop floor visits, appropriate hearing/eye protection may also be required when visiting the shop floor.
