Interior Design Project Expeditor

MUST HAVE INTERIOR DESIGN EXPERIENCE
Our ideal candidate has extensive knowledge of the interior design industry and is comfortable working with luxury clients. They will have solid product knowledge as well as a good understanding of managing day-to-day tasks necessary for purchasing and expediting everything necessary for the companys interior design clients. This person is extremely organized and thrives in a fast-paced environment. You will be the primary point of contact for our vendors in relation to daily operations for project logistics and installations. You will also interface with clients occasionally on general logistics relating to proposals, scheduling, and installations.
Responsibilities:
Answer phones/handle messages
Order samples as requested
Make vendor appointments with Principal and/or design team as needed
Obtain quotes from vendors for client projects, in conjunction with design team
Create client proposals in Studio Designer, in conjunction with design team
Receive/deposit client monies (as needed) and coordinate/confirm payments with remote Controller (for company)
Purchase approved/paid items for clients; arrange payment with remote Controller as needed (ACH payments etc.)
Open new trade/vendor accounts and manage existing accounts
Maintain communication with vendors during order period for client items
Review incoming items with receiver and arrange for storage and/or deliveries
Verify all purchases and incidental charges are billed to clients monthly through Studio Designer
Track and manage outstanding and long lead-time items with reports for design team
Inform design team of reselections (based on cancelations or damages)
Handle damage claims with vendor and receiver
Handle company mail, including FedEx and UPS packages
Help manage punch list for items and vendors (as needed) during and after client installations, in conjunction with design team
Manage and order company supplies (via Amazon, etc.)
Please note this position does NOT require book-keeping i.e.: monthly bank/credit card reconciliations, A/P or A/R, or payroll (they are handled remotely)
Experience required:
Working knowledge of the interior design industry and FF&E vendorsStrong organizational skills
Strong communication skills; please note that discretion is essential for this position when handling client monies and confidential matters
Strong computer skills including Microsoft Office Suite and Studio Designer
