Duties
Coordinating meetings and maintaining Outlook calendarsAnswering and screening phone callsBooking travel arrangementsPreparing expense reports and assistance with review follow-upOpening and dispersing mailCoordinating departmental supply needsOther day-to-day administrative support and special projects as neededPreparing invoices for approval and payment processingAssistance with vendor set-up requestsAssistance with Concur training and troubleshooting (Super User for the division)Compliance coordination support (e.g., Business Continuity Plan updates, training delinquency follow-ups, etc.)Generating reports and distributing documents as necessary, including coordination of monthly financial reporting packagesAssistance with other finance support including corporate cell phone requests, charitable contribution requests, etc.Serve as liaison with various departments to address facilities related issues and inquiries including troubleshooting, coordination of office purchases (e.g. office supplies, furniture, kitchen supplies, office equipment) clarification and inquiries regarding building policies and protocol, etc.Coordinate to ensure common areas of the floor (Pantry, Copy Rooms, Supply Room, Meeting Rooms, Freight Area) are well maintained, organized and stocked as requiredCoordinate work order requestsOther tasks as neededRequirements
Excellent written and verbal communication skillsTime-management skillsAbility to pay attention to detailOrganization skillsAbility to multitaskBasic understanding of frequently used computer software and programs, such as Microsoft OfficeInterpersonal skillsA detail-oriented self-starter with prior experience as an EA for high-level executivesSomeone who exhibits sound judgment with the ability to prioritize and make decisionsComfortable interacting with high-level executivesA team player capable of cultivating productive working relationships across the orgResourceful, can-do attitudeThrives in a fast-paced environmentBachelor's degree preferredThree to five years' prior experience in supporting a senior executive or team
