We are seeking a highly motivated Administrative Assistant to support our energy Chief Executive Officer (CEO and their internal team. This position serves as the primary point of contact for all internal and external constituencies regarding all matters related to the CEO. The Administrative Assistant also serves as a liaison to the CEO and senior management teams; organizes and coordinates executive outreach and external relations efforts, and oversees special projects. The Administrative Assistant must be creative and enjoy working within a complex, entrepreneurial environment that is mission-driven, results-driven, and community-oriented.
Duties and Responsibilities:Strategically manage the CEO's time with respect to priorities, goals, and objectives.Manage executive's calendar, schedule internal and external meetings (both in-person and virtual), and handle all travel & expense processingAssist executive with any necessary meeting preparation and when requested, join executive in meetings to take notes and follow up with responsible parties to ensure tasks are completed as agreed uponCompose, proofread, and finalize complex correspondence, documents, meeting minutes, and reports, using experience and judgment.Provide extensive internal meeting support including prepping the CEO prior, attending, and capturing action items, and following up on outstanding items.Ensure all of the CEO's speaking engagements are efficiently coordinated and required information is submitted in a timely mannerCreate and maintain a system whereby relevant client engagement information is complete, thorough, well-documented, organized, and easily accessibleProvide consistent updates and information to CEO while ensuring business discretion, sound judgment, and a clear understanding of the prioritiesEnsure the CEO is informed of all appropriate action items regarding the management of the organization and client projects using email and telephoneRead and track all CEO e-mail traffic, flag items for follow-up with the CEO and/or the sender and use intelligence gleaned from e-mail to better anticipate shifts in priorities, scheduling, etc.Participates in special projects and performs other duties as assigned
Required Qualifications:2+ years experience in administrative experiencePreferred college degree or the equivalent in education, training, and experienceStrong professionalism, confidentiality, time management, communication, customer service, and organization skillsProficiency with Google Apps (Gmail, Google Docs, Google Calendar), Microsoft Office, and video conferencing toolsDemonstrated experience with calendar management, travel arrangements, and event coordinationStrong project coordination and planning skills; excellent service orientationHigh standard of work and impeccable attention to detailOrganized, methodical, and proactive work ethicExcellent written and verbal communication skillsTime-management skillsAbility to pay attention to detailOrganization skillsAbility to multitaskBasic understanding of frequently used computer software and programs, such as Microsoft OfficeInterpersonal skills
