Job Overview:

The Administrative Assistant for the LEAP (Linking Employment Activities Pre-release) Program provides essential administrative and organizational support, ensuring smooth operations and effective program delivery. This role involves managing scheduling, handling documentation, assisting with data entry, and communicating with program participants, staff, and community partners. The Administrative Assistant is a key member of the team, supporting the mission of helping formerly incarcerated individuals reintegrate successfully through employment and support services.

Key Responsibilities:

Administrative Support

Provide day-to-day administrative assistance to the LEAP Program Manager and team, including scheduling meetings, preparing documents, and coordinating communications.Answer phone calls and respond to email inquiries from participants, community partners, and internal staff.Organize and maintain physical and electronic filing systems, ensuring that participant records, program documents, and reports are up-to-date and accessible.

Data Entry and Reporting

Accurately enter participant information, case notes, and employment data into the program's database and case management system.Assist in generating reports on program outcomes, participant progress, and other key metrics as required by program leadership and funders.Conduct routine checks on data accuracy and completeness to support effective reporting and program evaluation.

Participant and Partner Coordination

Schedule participant intake appointments, workshops, and follow-up meetings, ensuring efficient use of staff and facility resources.Coordinate communication between program participants and case managers, employment specialists, and other support staff.Assist in planning and organizing events, such as employer engagement sessions, training workshops, and community resource fairs.

Office Management and Supplies

Monitor and maintain office supplies, program materials, and equipment, placing orders as necessary to ensure smooth program operations.Maintain the cleanliness and organization of program spaces, including meeting rooms, reception areas, and supply storage.Serve as a point of contact for facility maintenance and IT support requests.

Other Duties as Assigned

Support team members with special projects, research tasks, and other activities as directed by the Program Manager.Stay updated on LEAP program policies and procedures, providing accurate information to participants and partners as needed.Participate in staff meetings and trainings to stay informed on program goals, priorities, and operational updates.

Qualifications:

Education and Experience:

High school diploma or equivalent required; Associate's degree or administrative certification preferred.Minimum of 2 years of experience in an administrative support role, preferably in a non-profit, social services, or re-entry program setting.

Skills and Competencies:

Strong organizational skills and attention to detail, with the ability to manage multiple tasks effectively.Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with database or case management software.Excellent communication skills, both written and verbal, with a professional and empathetic demeanor.Ability to work both independently and as part of a team, with a proactive approach to problem-solving.Sensitivity to the needs of justice-involved individuals and familiarity with confidentiality practices in social services.

Preferred Qualifications:

Experience in a social services, workforce development, or re-entry program environment.Knowledge of basic data management and reporting practices.Bilingual skills are a plus.Salary and Benefits:
