Position Summary
Brown Advisory is currently seeking a professional, energetic and self-motivated Executive Assistant to join the New York Office. This individual will directly support the Chief Investment Officer for our Private Client, Endowments and Foundations business as well as the Head of the Investment Solutions Group.
In addition, this individual will provide general calendar, travel, and expense management support for additional members of our Investment Solutions group and Operational Due Diligence teams. Candidates must possess the professional maturity to handle confidential matters.
The primary duties and responsibilities include but are not limited to :Coordinate executive communications, including taking calls, responding to e-mails and interfacing with internal team members including senior management as well as clients.Proactively assist and anticipate the needs of the Chief Investment Officer for our Private Client, Endowments and Foundations and the Head of the Investment Solutions Group.Schedule meetings and appointments, manage travel itineraries, and submit expense reports for multiple team members.Provide minor support to the Head of Investment Risk and Head of New York Business Development with tasks related to expenses and Salesforce activities.Efficiently document client and prospects' contact information and meeting activity through SalesForce CRM.Provide desk and greeting coverage at reception, handling deliveries and greeting clients and guests and assistance at New York office events where needed.Prepare meeting rooms, establish conference calls, and prepare technology for presentations.Work independently and follow tasks through to completion and meet commitments, proactively seeking guidance as necessaryAct as gatekeeper to help prioritize outcomes and eliminate distractions.Establish effective working relationships with colleagues and external contacts.Assist with special projects as assigned, which includes, preparing meeting materials, annual client gifting, etc.Uphold a strict level of confidentiality.Desired Qualifications and Characteristics:
Minimum of 3 years of experience as an Executive Assistant reporting directly to senior management.Financial services experience preferred.Advanced Microsoft Office skills, including Word, Excel and PowerPoint, with an ability to become familiar with firm-specific programs and software.Strong organizational skills with the ability to manage multiple priorities while maintaining exceptional attention to detail and accuracy.Customer service orientation with emphasis on a positive attitude, warm disposition and enthusiasm to take on assignments.Proactive about asking questions, offering solutions and enhancing processes and workflows.Illustrates tact, discretion, and good judgment in handling sensitive and confidential information.Superior written and oral communication skills.Ability to work in our New York office five days a week.
Salary: $80-$115k. Commensurate with experience and location. Does not include bonus or long-term incentive eligibility (if applicable).
