A reputable financial services firm is looking for an Executive/Personal Assistant to support to the CEO and other senior executives, as well as handle personal and household tasks for the CEO and their family. This is a unique opportunity to work in a fast-paced and challenging environment, while gaining invaluable experience in both the business and personal realms. This role is onsite full time.ResponsibilitiesManage and prioritize the CEO's complex calendar, handling scheduling conflicts and ensuring smooth engagements.Serve as a liaison for executive staff, coordinating logistics for meetings and events, including agenda preparation and minute-taking.Organize domestic and international professional and personal travel arrangements, creating detailed itineraries and assembling necessary materials.Complete a variety of administrative tasks to aid the CEO in leading the organization effectively, such as document preparation and correspondence.Act as the primary contact for confidential matters, making judicious recommendations that align with the CEO's style and organizational policies.Ensure the smooth operation of office functions, including IT support and troubleshooting for cloud-based applications.Proactively manage and prioritize tasks, projects, and urgent requests in a fast-paced environment with minimal supervision.Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO's style and organization policy for internal and external matters.QualificationsMinimum 10 years of significant experience supporting C-suite executives in a Financial Services or Family Office environment.Bachelor's Degree requiredExpert proficiency in Microsoft Office and desktop publishing software, with the ability to create and design graphic presentations.Exceptional organizational skills, strong verbal and written communication skills, and the ability to maintain confidentiality and demonstrate professionalism.Strong judgment, problem-solving abilities, and the capacity to adapt quickly to shifting priorities and urgent situations.Able to be available after normal working hours (8:30-6pm)Proactive and detailed mindset
